We’re looking for a dynamic and highly organised individual to oversee the operational and administrative functions of our real estate business. This is a key leadership position where you'll contribute to the growth of our team, enhance client satisfaction, and help us run a top-tier operations.
Key Responsibilities:
- Process Optimisation: Review, implement, and improve administrative systems and procedures to increase efficiency and reduce errors across the sales process.
- Sales and Client Administration: Manage listings, sales transactions, invoices, and client records with accuracy and attention to detail. Ensure that client needs are met in a timely and professional manner.
- Schedule and Resource Management: Coordinate complex calendars, home open runs, meetings, and logistics for the sales team while ensuring resource allocation is optimised.
- Reporting and Data Management: Develop and maintain monthly performance reports. Analyse key metrics to provide actionable insights to senior leadership.
- Client Relations and Liaison: Act as the first point of contact for client inquiries, handling concerns, and maintaining strong relationships with both clients and agents.
- Compliance and Quality Control: Ensure all operations and sales processes comply with legal, regulatory, and internal company standards. Continuously monitor for improvements and best practices.
- Sales and Marketing Support: Collaborate with the marketing team to ensure all property listings are up-to-date and that promotional material aligns with the company's brand and objectives.
Required Experience & Skills:
- Proven Operations Leadership: 3+ years in an operations manager role or senior administrative position in the real estate or related industry. You’ve demonstrated success in managing and improving office operations and administrative systems.
- Strong Organisational Expertise: Ability to handle multiple tasks and prioritise effectively in a fast-paced environment. Strong attention to detail and commitment to delivering high-quality work.
- Technology Savvy: Proficiency in CRM software (e.g., Salesforce, REI Master, or similar), Microsoft Office Suite (Excel, Word, PowerPoint), and Google Suite. Experience with real estate management tools (e.g., CoreLogic, RP Data) is a plus.
- Exceptional Communication Skills: Excellent written and verbal communication skills. Proven ability to effectively coordinate with internal teams, clients, and external stakeholders.
- Problem Solver and Decision-Maker: A proactive, resourceful individual who thrives on improving operations and implementing solutions for complex challenges.
- Leadership Ability: Experience in leading teams, managing multiple workflows, and providing mentorship to junior staff.
- Real Estate Knowledge: In-depth understanding of the sales process, legal compliance, and industry regulations within real estate.
Desirable Qualifications:
- Real Estate Certifications or other relevant qualifications.
