Join Our Team! – Operations and Administration

Are you an experienced in Operations and Administration with a passion for streamlining processes and optimising team performance? Do you thrive in fast-paced environments and have a deep understanding of the real estate industry? We want you to help drive our success!

We’re looking for a dynamic and highly organised individual to oversee the operational and administrative functions of our real estate business. This is a key leadership position where you'll contribute to the growth of our team, enhance client satisfaction, and help us run a top-tier operations.

Key Responsibilities:

  1. Process Optimisation: Review, implement, and improve administrative systems and procedures to increase efficiency and reduce errors across the sales process.
  2. Sales and Client Administration: Manage listings, sales transactions, invoices, and client records with accuracy and attention to detail. Ensure that client needs are met in a timely and professional manner.
  3. Schedule and Resource Management: Coordinate complex calendars, home open runs, meetings, and logistics for the sales team while ensuring resource allocation is optimised.
  4. Reporting and Data Management: Develop and maintain monthly performance reports. Analyse key metrics to provide actionable insights to senior leadership.
  5. Client Relations and Liaison: Act as the first point of contact for client inquiries, handling concerns, and maintaining strong relationships with both clients and agents.
  6. Compliance and Quality Control: Ensure all operations and sales processes comply with legal, regulatory, and internal company standards. Continuously monitor for improvements and best practices.
  7. Sales and Marketing Support: Collaborate with the marketing team to ensure all property listings are up-to-date and that promotional material aligns with the company's brand and objectives.

Required Experience & Skills:

  1. Proven Operations Leadership: 3+ years in an operations manager role or senior administrative position in the real estate or related industry. You’ve demonstrated success in managing and improving office operations and administrative systems.
  2. Strong Organisational Expertise: Ability to handle multiple tasks and prioritise effectively in a fast-paced environment. Strong attention to detail and commitment to delivering high-quality work.
  3. Technology Savvy: Proficiency in CRM software (e.g., Salesforce, REI Master, or similar), Microsoft Office Suite (Excel, Word, PowerPoint), and Google Suite. Experience with real estate management tools (e.g., CoreLogic, RP Data) is a plus.
  4. Exceptional Communication Skills: Excellent written and verbal communication skills. Proven ability to effectively coordinate with internal teams, clients, and external stakeholders.
  5. Problem Solver and Decision-Maker: A proactive, resourceful individual who thrives on improving operations and implementing solutions for complex challenges.
  6. Leadership Ability: Experience in leading teams, managing multiple workflows, and providing mentorship to junior staff.
  7. Real Estate Knowledge: In-depth understanding of the sales process, legal compliance, and industry regulations within real estate.

Desirable Qualifications:

  1. Real Estate Certifications or other relevant qualifications.
