About the Role

As the Executive Assistant to the Mayor & Councillors at Darebin City Council, you’ll be at the heart of local government, providing vital executive support, driving key initiatives, and ensuring the smooth day-to-day operations of the Mayor’s office.

What You’ll Be Doing

  • Acting as a trusted advisor to the Mayor, providing high-level executive support and ensuring seamless coordination of activities.
  • Managing correspondence, preparing responses, and keeping everything running smoothly behind the scenes.
  • Supporting Councillors with training, professional development, and administrative needs.
  • Handling important and sensitive matters with professionalism and discretion, strengthening Council’s reputation.
  • Taking ownership of key projects on behalf of the Mayor or Corporate Executive Office, from idea to execution.
  • Ensuring Councillors have everything they need—whether it’s information, meeting coordination, declarations, IT support, or executive admin assistance.

This role is fast-moving, rewarding, and full of variety, offering the chance to contribute to meaningful change and community impact in a progressive and supportive environment.

Skills & Experience
We’re looking for a highly organised, proactive, and experienced Executive Assistant who thrives in a fast-paced environment. You’ll need:

  • 5+ years’ experience as an EA at a senior level, supporting executives or high-profile leaders.
  • Exceptional organisation and multitasking skills, with the ability to manage multiple priorities seamlessly.
  • A strong ability to problem-solve and make confident decisions while maintaining a high level of professionalism.
  • Expert written and verbal communication skills, ensuring clear, effective messaging across all levels.
  • Excellent customer service skills, with a natural ability to engage, assist, and communicate with a wide range of people.
  • Strong relationship management skills, enabling you to work effectively with internal and external stakeholders.
  • Professional judgement to handle sensitive matters with discretion, ensuring the Mayor and Councillors are always well-supported.
