Job Summary
The Warehouse Supervisor, with 5 to 10 years of experience, is responsible for managing end-to-end e-commerce warehouse operations, ensuring timely deliveries, accurate inventory control, and cost-efficient practices. This role requires a proactive leader who can maintain an organized warehouse, manage documentation, and supervise the warehouse team while ensuring exceptional customer satisfaction.
ROLE AND AREA OF RESPONSIBILITIES
Key Responsibilities:
Inbound Shipments & Fulfillment
- Follow up on inbound shipments, ensuring all items are received and documented correctly.
- Oversee the completion of the dock-to-stock process in a timely manner for all received items
Outbound Deliveries & Order Preparation
- Oversee daily order preparation to ensure timely delivery for local & international orders.
- Maintain efficient order processing timelines for both local and international shipments.
- Perform daily order reconciliations, ensuring accuracy and promptly reporting issues to IT.
Inventory & Order Accuracy
- Ensure high order picking accuracy to minimize errors.
- Manage stock take, cycle counts, and inventory reporting with focus on accuracy.
- Avoid product damages and out of stock situations through careful monitoring and strategic inventory management.
Documentation & Compliance
- Manage all required documentation including: Invoicing, Custom declaration files, Gate passes, Courier documentation.
- Ensure accurate and timely completion of these documents to avoid shipment delays.
Warehouse Organization & Maintenance
- Maintain a clean, organized warehouse with clear processes for item placement and movement.
- Supervise equipment maintenance, addressing AC, leaks, snags, and pest control as needed.
- Order and manage warehouse packing materials, stationery, and other supplies.
Cost Management & Quality Control
- Identify and implement cost-saving initiatives for shipping and packaging.
- Explore alternative courier services to reduce costs.
- Ensure returns are processed efficiently, minimizing transit damage by maintaining rigorous packing standards.
- Ensure accurate execution of gift messages, gift-wrapping instructions, and customer special requests.
- Proactively update OOS items to ensure timely replacements and customer communication.
Team Management
- Manage warehouse staff schedules, ensuring tasks are clearly assigned and workloads are balanced.
- Assess team resource needs and request additional team members when required.
- Foster a positive, results-driven environment with clear KPIs and accountability.
Reporting & Analysis
- Ensure timely submission of key reports including: Order pick and pack report, Stock holding report. Stock movement report, Stock expiry & damage report, Cycle count report, Monthly report + S&OP
- Maintain a clear petty cash summary and provide detailed expense reports to Accounts.
Customer Satisfaction & Collaboration
- Ensure accurate, on-time deliveries and proactive customer service.
- Coordinate closely with the Customer Care team to promptly address issues such as order cancellations, missing items, or return discrepancies.
Requirements needed :
- Bachelor’s degree in Logistics, Industrial Engineering, or a related field; a postgraduate degree in logistics or applied technologies is preferred.
- 5 to 10 years of experience managing warehouses
- Demonstrated experience in implementing technological projects and managing organizational change processes.
- Advanced knowledge of tools and other digital logistics management systems.
- Fluent in English
- Strong skills in Excel
