The Document Controller in a fulfillment center is responsible for managing, organizing, and maintaining all documentation related to the operations of the center. This role ensures that all documents, including shipment records, inventory logs, standard operating procedures (SOPs), and compliance documents, are accurate, up-to-date, and easily accessible to authorized personnel. The Document Controller plays a critical role in ensuring the smooth flow of information and compliance with industry standards and company policies.
Key Responsibilities:
Document Management:
Develop and maintain a systematic filing system for both physical and electronic documents.
Ensure that all documents are properly categorized, labeled, and stored in accordance with company guidelines.
Track the creation, revision, and distribution of documents, ensuring that the latest versions are available to relevant teams.
Compliance and Audit Support:
Ensure all documentation meets regulatory and company compliance standards.
Prepare and organize documents for internal and external audits.
Regularly review and update documents to ensure they reflect current policies, procedures, and regulations.
Operational Documentation Support:
Collaborate with departments such as logistics, inventory, and quality assurance to ensure that operational documents are accurate and readily available.
Assist in the preparation of operational reports and documentation related to inbound and outbound shipments.
Maintain and update SOPs and training materials to ensure they are current and accessible.
Data Entry and Maintenance:
Enter and update information in the document management system accurately and promptly.
Maintain databases of documents, ensuring that all records are current and accessible.
Generate reports and summaries as required by management.
Security and Confidentiality:
Implement and enforce document security protocols to protect sensitive and confidential information.
Monitor access to documents, ensuring that only authorized personnel have access to specific records.
Maintain a log of document access and usage.
Training and Development:
Train staff on document control processes and the use of document management systems.
Stay updated on best practices in document management and implement improvements to enhance efficiency and compliance.
Qualifications:
Education: High school diploma or equivalent; a degree in business administration, logistics, or a related field is preferred.
Experience: Previous experience in document control, records management, or a similar role, preferably within a fulfillment center, warehouse, or logistics environment.
Skills:
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Proficiency in document management software and Microsoft Office Suite (Excel, Word, etc.).
Strong communication skills, both written and verbal.
Ability to work independently and manage multiple tasks simultaneously.
