Job Description:
Scope & General Job Purpose:
To perform a wide variety of administrative duties and tasks, including but not limited to the shipment and distribution of aircraft spare parts, preparation of documentation, timely coordination and follow up with suppliers, customers, and forwarders as required by the daily operations.
Responsibilities:
Adheres to all corporate policies, guidelines and statutory requirements
Handling, coordinating, following up on incoming shipments
Plan shipments based on product availability and customer requests
Dispatching Repair Orders and advising shipping details to Customers
Preparing and submitting necessary documents required for clearance of inbound and outbound shipments, such as for example commercial invoice, delivery note and delivery advice
Maintaining Lists with all required details (i.e. BOE entry/ exit date) as per Dubai Customs requirements
Liaising with forwarders to ensure most timely, accurate and cost efficient forwarding for all inbound and outbound shipments
Maintaining and Updating database of stocks
Physically safeguarding aircraft parts (spares and piece parts) in compliance with industry regulations and applicable health & safety procedures
Accurately maintaining the logistic filing system to ensure the accuracy of all logistics related files
Responsible for making sure supplies, stock, materials, packages, and/or products are processed through the warehouse system efficiently and safely
Responsible for the data entry and inventory of all stock
AOG Duty - 24/7 availability (as per given schedule)
Performs other related duties as assigned by Management and/or Department Head
Provides back-up support to other group members in the performance of job duties as required
Key Performance Measures:
Works with the team and other department members to produce effective customer support strategies, procedures and methods
Contributes to the development and maintenance of standards, policies and procedures regarding customer support
Profile:
Experience in a similar position and aviation background would be considered as an advantage
Outstanding customer service skills
Excellent working knowledge of MS Office and/or Google Workspace
Excellent communication skills, both written and oral in English
Process, detail and result oriented with problem solving skills
Takes initiative, is proactive
Ability to work independently with a sense of accountability
Knowledge of Dubai customs import and export procedures/ forms and documentation
