Job Title : Secretary (Tech Administrative Coordinator)

Job Purpose :

The Secretary (Tech Administrative Coordinator) supports the Chief Information Officer (CIO) at Bank. This role involves providing advanced administrative support, including managing the CIO's schedule, handling correspondence, and overseeing HR and facility management within the Technology Department.

Key Responsibilities :

  • Schedule Management : Organize the CIO's calendar and arrange meetings and travel.
  • Communication : Manage correspondence (emails, letters, phone calls) and ensure timely responses.
  • Record Maintenance : Organize and maintain confidential records and documents.
  • HR Support : Assist with recruitment, onboarding, and employee record management.
  • Administrative Operations : Coordinate office activities and ensure compliance with policies.
  • Facility Management : Oversee office facilities for a safe and efficient working environment.
  • Event Coordination : Organize logistics for meetings, events, and townhalls.
  • CIO Communications : Draft and review communications on behalf of the CIO.

Key Requirements :

  • 10+ years of experience in a coordination or administrative role.
  • Prior experience supporting senior executives, preferably in a technology-driven environment.
  • Strong organizational, multi-tasking, and problem-solving skills.
  • Knowledge of HR processes, office management, and facility management.
  • Proficient in Microsoft Office Suite, Google Workspace, and related tools.
  • Strong attention to detail, proactivity, and organizational skills.
  • Excellent communication skills (written and verbal).
  • Discretion and confidentiality in handling sensitive information.
  • Ability to adapt to a dynamic work environment and manage competing priorities.
