Job Description:
Planning and coordinating all logistical support works that contribute to drawing a distinctive image of the administration and the university, and providing the necessary support for all events, activities, workshops, meetings and academic, student and research uniforms that enhance the university's position in society, and work to deepen the role of strategic partnerships with various parties.
Detailed tasks and duties:
- Assist in the development of work plans and the distribution of tasks in the unit responsible for.
- Follow up the implementation of tasks and supervise the work procedures in the unit responsible for.
- Review the achievement rates and evaluate the performance of the tasks and employees in the unit responsible for them.
- Supervise the work of the unit's employees and coordinate between them to get the best results.
- Assist in resolving disputes that the unit is going through and ensure an appropriate environment in dealing between employees.
- Supervise the process of providing logistical support for holding seminars, conferences, workshops, meetings and field visits related to the work.
- Supervise the security of special entry permits, facilitate travel procedures and hotel reservation procedures, and provide the necessary facilities to receive official delegations.
- Manage and supervise the arrangement of conferences, seminars, exhibitions and meetings.
- Participate in exhibitions and conferences related to the university.
- Supervise the arrangement of social events and programs for the employees of the UAE University.
- Supervise the purchase and design of gifts, shields and honoring for the United Arab Emirates University.
- Supervise the planning and support processes and mechanisms carried out by the department on various activities, programs and events inside and outside the university.
- Supervise the mechanisms of continuous coordination between the administration with the various academic and administrative units at the university.
- Supervise the coordination processes between the administration and all external parties such as ministries, federal authorities, institutions, local departments, and foreign and Arab embassies.
- Supervise the work of the protocol and protocols.
- Supervise the operations of hotel reservations, providing hospitality, implementing requests for special entry permits, as well as supervising car requests for university guests.
- Supervise the services provided by the department and follow up the procedures for their implementation.
- Supervise the coordination processes with the concerned authorities at the university regarding the participation of students in official events organized or participated by the university in the country.
Minimum Qualifications:
Bachelor's degree and preferably master's degree holders.
Preferred Qualifications:
General Training Courses: Change Management Training Courses, Training courses in the preparation of operational plans, Institutional Development Training Courses, Effective Leadership Training Courses, Project management training courses and specialized training courses, Training Courses in Organizational Excellence, Customer Service Training Courses, Protocol and Protocol Training Courses.
