As HR Administration, you will be the first point of contact for the company and you will provide administrative support. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

In this role, you will:

Internal & CSR

In alignment with the HR strategy, this role is responsible for:

  • Creation and driving of calendar for all CSR events throughout the year based on the UN calendar
  • Running recurring HR initiatives and sporting activities
  • Monitor the CSR budget and provide reports
  • Prepare and oversee the execution of office CSR activities
  • Creation of internal communications and publishing them on all organization channels for UAE and MENA regions
  • Manage the internal Instagram page
  • Ensure all areas of the business have access to non-specific region communications.
  • Responsible for sending out SEED communications on all organization channels
  • Implementation of Sustainable Development Goals in the company (recycling, etc.)
  • Ensure the monthly publication of The Buzz Newsletter

Lead Receptionist

  • Supervise the reception rotation. Ensure there is a cover and representative at all times
  • Cover the reception when required
  • Manage the office sundry replenishment, inc. stationery, refreshments, and other items
  • Report any maintenance issues to the concerned department
  • Delegation and supervision of day-to-day admin tasks as required
  • Leading the team of receptionists and set KPIs to meet the objectives of HR Operations
  • Motivate and manage the performance of the team

Minimum Requirements:

  • A secondary education is required
  • 5+ years of experience in a front office handling receptionist responsibility and 1 year in people management
  • At least 2 years of experience within the UAE
  • 3+ years in managing events/employee engagement activities
  • Proficient with Microsoft Office Suite, CANVA and using MAC
  • Understanding the importance of employee engagement
  • Proficient with Microsoft Excel
  • Fluent in English
  • Can perform under pressure and operate in a fast-paced environment
  • A can-do and flexible approach
  • Customer service attitude
  • Friendly and well-spoken
  • Professional and upbeat attitude and appearance
  • Ability to organise, multitask, prioritise, and work under pressure
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Project Management skills
  • Strong collaborative skills
  • Solid communication skills both written and verbal
