About this role:
Proposal and Tender Support
- Draft, edit, and finalize technical content for RFIs, RFPs, RFQs, and tender submissions.
- Collaborate with subject matter experts to gather accurate and detailed input for scope-related responses.
- Customize bid documentation to reflect client-specific language, objectives, and evaluation criteria.
- Ensure timely submission of all written components in alignment with bid schedules and deadlines.
Technical Documentation
- Develop and update method statements, operational procedures, and service delivery models.
- Create technical content for sustainability plans, mobilization plans, risk assessments, and resource deployment strategies.
- Translate technical knowledge into clear, concise documents that are easily understood by clients and evaluators.
Content Development and Editing
- Write, revise, and maintain internal templates and standardized content libraries for repeated use.
- Conduct rigorous editing and proofreading to ensure grammatical accuracy and alignment with company tone and voice.
- Ensure high-quality formatting, layout, and structure of all written content.
Knowledge Management
- Organize and maintain a comprehensive repository of content including case studies, CVs, company profiles, and reference projects.
- Lead content review sessions post-submission to continuously refine and improve documentation.
- Monitor and incorporate feedback from bid evaluations to strengthen future responses.
Collaboration and Stakeholder Engagement
- Work closely with Business Development, Operations, HSE, Finance, HR, and Legal teams to collect and consolidate technical input.
- Participate in kick-off and strategy meetings for tenders and key opportunities.
- Maintain strong coordination with graphic designers to ensure documents are visually engaging and professional.
Research and Compliance
- Conduct competitor analysis and market research to enhance bid competitiveness.
- Ensure all written materials comply with client specifications, regulatory requirements, and industry best practices.
- Stay updated with changes in facility management regulations, compliance standards, and technology trends.
Branding and Presentation
- Maintain brand consistency across all written communication and client-facing documents.
- Support the creation of marketing content such as brochures, capability statements, and website content, as needed.
- Assist in developing client presentations and slide decks that align with proposal narratives.
Continuous Improvement and Learning
- Proactively seek feedback on content quality and integrate lessons learned from previous bids.
- Contribute to the development of writing guides, style guides, and content management tools.
- Stay informed on evolving writing tools, AI-based writing assistants, and document automation platforms.
Occupational and Workplace Health and Safety Responsibilities:
In addition to all job-specific responsibilities, all employees are required to adhere to all Khidmah health, safety, and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety, and environmental requirements and obligations. All employees are personally responsible to familiarize themselves with these policies, procedures, practices, updates, etc. Khidmah HSE department regularly updates existing and introduces new policies, procedures, and practices, and each employee is personally responsible to ensure they stay updated and compliant with all such updates and new additions.
Information Security Responsibilities:
- Comply with Khidmah Information Security Policies.
- Be aware of and fulfill their information security responsibilities.
- Ensure whoever handles sensitive company information has taken the Security Awareness Training.
- Know how to report a security incident (to IT ServiceDesk or InfoSec).
- Not disable his/her OS firewall and/or Antivirus.
- Restrict use to authorized purposes, protect access accounts, privileges, and associated passwords.
- Accept accountability for his/her individual user accounts, and maintain confidentiality.
Qualifications:
- Bachelor's degree in business administration, Marketing, Engineering, Facilities Management, or a related field.
- MBA or postgraduate qualification is often preferred.
- 3 to 5 years of proven experience in technical writing, preferably within the Facility Management, construction, engineering, or real estate services sectors.
- Demonstrated experience in developing high-quality technical content for tender submissions, RFIs/RFPs/RFQs, and method statements.
- Strong command of English with excellent writing, grammar, and editing skills.
- Ability to translate complex technical and operational data into clear, concise, and client-friendly content.
- Skilled in creating method statements, SOPs, service delivery plans, and technical proposals.
- Deep understanding of proposal structures and requirements for RFPs, RFQs, and RFIs.
- Competence in aligning written content with tender evaluation criteria and client expectations.
- Ability to work with multiple stakeholders to produce high-quality submissions under strict deadlines.
- Excellent interpersonal skills with the ability to liaise effectively with internal departments (e.g., Operations, HSE, Estimation, HR).
- Confident in facilitating information gathering through interviews, meetings, and document reviews.
- Ability to handle feedback constructively and adjust content based on internal and external inputs.
- Strong research skills to support content development with relevant industry benchmarks and competitor insights.
- Analytical mindset to interpret operational strategies and technical specifications accurately.
- Proficient in Microsoft Office Suite, particularly Word and PowerPoint (advanced formatting, styles, templates).
- Familiarity with document design tools such as Adobe InDesign or Canva is an advantage.
- Experience using content management systems, CRM platforms, or proposal automation tools.
- Ability to manage multiple projects simultaneously, prioritize tasks, and meet tight deadlines.
- Detail-oriented with a commitment to consistency, accuracy, and document quality control.
- Familiarity with Facility Management services (hard and soft), industry standards, and terminology.
- Awareness of UAE labour laws, HSE standards, sustainability requirements, and Emiratisation guidelines as they apply to documentation.
