Overview of the Role:

As the Team Assistant for the UAE Tax team, you will play a key role in optimising daily operations and driving better efficiency, collaborating closely with each of the tax team members. We are looking for an enthusiastic individual who is excited about the opportunity to grow and develop as the role and team it supports does. Individuals with an administration, business development and marketing, or event planning profile would work well in this fast-paced environment. The role will require individuals to support and collaborate with busy professionals, work to tight deadlines, and anticipate the needs of the team. The ideal candidate will remain calm under pressure, stay organised, and bring a positive, humorous attitude to their work while playing an instrumental role in being the “go-to” and connection point that brings the team together.

Responsibilities include but are not limited to:

  • Assist with the day-to-day operations of the team ensuring smooth and efficient functioning.
  • Assist with financial administration and coordinate with the UK finance team on key financial metrics.
  • Facilitate internal communications, such as scheduling webcasts or physical client events, or distributing information across the wider team.
  • Handle general queries from your team regarding internal related matters.
  • Assist with the coordination of events such as lunches, meetings, offsites, and team socials.
  • Coordinate with local marketing, GTM lead, and other stakeholders as needed to support the execution of business development and marketing activities locally.
  • Help with Salesforce reporting and overall CRM management.
  • Manage high-profile client/senior stakeholder visits.
  • Assist and inform the team on internal (IT) procedures and tools.

EA Support:

  • Assist with managing the diaries for Managing Directors.
  • Manage multi-location travel arrangements daily (parking, cars, trains, hotels, flights, visas).
  • Coordinate meeting rooms and parking.
  • Attend team meetings when required.
  • Minute taking during team meetings when required.
  • Assist with onboarding of new team members.
  • Collaborate with the wider EA team.
  • Submit weekly timesheets.
  • Complete expenses and track expense statements.

Requirements:

  • Relevant experience, preferably in a professional services environment.
  • Excellent verbal and written communication in English; Arabic speaker would be an advantage.
  • Resourceful team player, with the ability to also be effective independently.
  • Ability to be proactive and involved in executive business dealings.
  • Professional approach, exceptional interpersonal and relationship-building skills.
  • Strong analytical and problem-solving skills, with the ability to adapt to a dynamic work environment.
  • Must be organised, detail-oriented, and able to multi-task in a fast-paced environment, using a flexible mindset to shift priorities.
  • Preferably advanced skills in computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Salesforce.
  • Ability to handle sensitive and confidential information with maximum discretion.
