Support the recruitment, selection, and onboarding operations to ensure vacancies are filled as required within the stipulated timeframes.
This includes but is not limited to:
- Sourcing profiles from different portals.
- Advertising positions on internal and/or external portals, such as LinkedIn, Bayt, etc.
- Screening candidates, scheduling interviews, developing and administering Aptitude & Psychometric tests.
- Conducting reference checks.
- Developing technical assessments for each job role within the organization in partnership with hiring/line managers and HODs.
- Work with HR Head and Department Heads to develop an annual manpower plan as per the approved finance template.
- Update the manpower plan against the confirmed and recruited positions and ensure the same is reflected in the org structure in coordination with the custodian of org structure.
- Actively participate in the candidate’s selection process through interviewing candidates and providing accurate & detailed assessments based on the job requirements.
- Comply and meet the Emiratization recruitment targets. Stay abreast and updated with changes to Emiratization Quotas from MOHRE and other official sources.
- Conduct reference checks by verifying the employment information and contacting the professional and personal contacts provided by the candidate.
- Ensure salaries & CTC (Cost to Company) calculations are aligned with the approved Modon Job Grade & Salary Scale.
- Ensure due diligence is conducted to cross-verify budgeted manpower roles, and that all required hiring documents (e.g., position request form, candidate assessment form, job description for the role, employment application form, Know Your Employee (KYE) requirements, etc.) are approved, collected, and archived in employee/candidate folder records before proceeding with the hiring process.
- Handle and manage all Modon Communities Outsource (third-party) manpower agency and outsource staff management.
- Conduct regular weekly and monthly checks on the staffing list and associated rewards package payable for outsourced staff with contracted outsourced companies.
- Comply with the employee folder (file structure) and archival of the documents.
- Manage the internship program by identifying intern roles with HODs, approaching industry-relevant universities, hiring specific internship roles, and onboarding them within Modon. Evaluations to be conducted as per university guidelines. Certificates of experience/completion to be issued.
- Prepare and release Company Offer Letters and ensure they are in line with the legal, regulatory standards, and templates provided by the legal team.
- Prepare a new-joiner checklist and communicate with respective departments (e.g., Admin, IT) to prepare laptops, stationery, and office desks prior to the candidate’s joining.
- Prepare all new joiner docs and coordinate with the Visa & Gov relations team to apply for MOHRE Contract and subsequently residence visa via Immigration. Ensure the onboarding is completed where the candidate has received work permit, medical insurance, and valid residence visa.
- Conduct compliance checks for all staff as per compliance department requirements.
- Ensure all employee documentation (pre and post joining docs) is updated and available in file for the comp & ben team to engage the staff on HRIS system (SAP HCM / SAP SF).
- Conduct orientation/induction for all new joiners. Ensure to coordinate the attendance of the IT & Compliance orientation as well.
- For positions advertised internally, where candidates (existing company staff) are approved for specific vacant roles, the officer is to coordinate with the comp & ben team to provide information and confirmation on the approved internal transfers, and/or salary/designation changes.
- Ensure that Modon’s recruitment & selection policies and procedures are adhered to and that the company conforms to the UAE labor law & guidelines in its hiring process.
- Develop and effectively maintain Talent Acquisition Tracker to provide weekly recruitment reports and updates on the status and progress.
- Propose enhancements to Talent Acquisition, Onboarding, and Orientation processes and practices.
- Participate in the weekly meetings and provide recruitment and other activities updates through the set reporting mechanisms.
- Participate in the Career Fairs conducted through various educational entities as required.
- Ensure that Job Descriptions are updated in full for all positions, on an annual basis, and when a new hiring or a replacement requirement arises.
- Ensure that a bi-annual exercise for Job Description updates is conducted every half of the year to update and reflect changing tasks responsibilities, etc.
- Responsible for closure of the HR Audit and HSQE gaps (where applicable).
- Additional tasks/responsibilities may be delegated as per the requirement.
Occupational and Workplace Health and Safety Responsibilities:
In addition to all job-specific responsibilities, all employees are required to adhere to all Modon health, safety, and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety, and environmental requirements and obligations. All employees are personally responsible to familiarize themselves with these policies, procedures, practices, updates, etc. Modon HSE department regularly updates existing and introduces new policies, procedures, and practices, and each employee is personally responsible to ensure they stay updated and compliant with all such updates and new additions.
Information Security Responsibilities:
- Comply with Modon Information Security Policies.
- Be aware of and fulfill their information security responsibilities.
- Ensure whoever handles sensitive company information has taken the Security Awareness Training.
- Know how to report a security incident (to IT ServiceDesk).
- Not to disable his/her OS firewall and/or Antivirus.
- Restrict use to authorized purposes, protect access accounts, privileges, and associated passwords.
- Accept accountability for his/her individual user accounts and maintain confidentiality.
