Support Services Manager - ZMU

Job Purpose:
The Campus Support Services Manager is responsible for overseeing and coordinating a wide range of services that support the smooth operation and functionality of a university campus. This role ensures that campus facilities, operation, and resources are efficiently managed and meet the needs of students, faculty, staff, and visitors while maintaining high standards of quality, safety, and sustainability.

Key Roles & Responsibilities

Strategic Responsibilities:

  1. Contribute to the development of the Department's strategy, as well as annual business plans.
  2. Contribute to the development of the Department's policies and procedures, in line with the overall business objectives of the University, ensuring they promote leading practices and excellence.
  3. Contribute to the development and management of the Department's budgets and report back on a timely basis to ensure that divergences are addressed promptly.

Operational Responsibilities:

  1. Manage day-to-day operations of campus support services, including general services, logistics, fleet operations, mailing services management, and office support.
  2. Manage procurement and budget services to ensure efficient campus operation.
  3. Provide managerial lead with respect to ensuring that all services are provided in a timely and professional manner and in accordance with industry best practices.
  4. Evaluate, develop, recommend, and implement policies and procedures to enhance the efficiency of support services.
  5. Oversee maintenance and repair activities for campus facilities, ensuring timely and effective resolution of issues.
  6. Supervise, train, and evaluate staff within the support services department.
  7. Foster a collaborative and motivated team environment.
  8. Ensure compliance with university policies and regulations by staff and contractors.
  9. Prepare and manage budgets for campus support services.
  10. Monitor expenditures and identify cost-saving opportunities without compromising service quality.
  11. Coordinate procurement of supplies, equipment, and services in line with university guidelines.
  12. Serve as the primary point of contact for stakeholders regarding campus support services.
  13. Address concerns and feedback from students, faculty, and staff, ensuring excellent customer service.
  14. Collaborate with academic and administrative departments to align support services with campus needs.
  15. Ensure that all support services adhere to health, safety, and environmental standards.
  16. Conduct regular inspections and audits to identify and mitigate risks.
  17. Stay updated on compliance requirements and implement necessary changes.
  18. Promote environmentally friendly practices within campus operations.
  19. Work with relevant departments to implement sustainable solutions for waste management, energy use, and resource conservation.
  20. Develop comprehensive project plans, including scope, objectives, timelines, budgets, and resource allocation.
  21. Resolve conflicts and issues as they arise on campus, escalating to senior management when necessary.
  22. Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly.
  23. Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed.
  24. Demonstrate a strong commitment and practice to maintaining a safe and healthy work environment.
  25. Perform any other tasks assigned by the Line Manager.

Supervisory Responsibilities:

  1. Provide coaching, guidance, and mentoring as required to enhance the internal capabilities of the team and ensure the achievement of established objectives and plans.
  2. Recommend appropriate training courses as per the pre-determined training needs, evaluate their effectiveness, and monitor their results.
  3. Carry out performance appraisals for subordinates according to planned schedules and recommend necessary actions as per the applied practices.
  4. Conduct periodic meetings with subordinates to ensure that priorities are clear and workflow is running smoothly.
  5. Follow-up on employees' administrative affairs such as vacations, leaves, and other administrative and related affairs.
