Supply Chain Officer

The Senior Supply Chain Officer at ABYAT, your primary responsibility is to oversee and manage the end-to-end order processing cycle, ensuring accuracy, efficiency, and customer satisfaction. You will be responsible for coordinating with various internal departments to facilitate smooth order fulfilment, resolving any issues or discrepancies, and providing support to customers throughout the order life-cycle.
Job Duties:

1. Initiate PO process by requesting Proforma Invoice from the vendor, create PO in SAP after reconciling.
2. Follow up internally to get PO fully released in the system.
3. Communicating released PO details with the vendor and getting acknowledged with initial readiness details.
4. Follow up to finalise payment term requirements (LCs, Advance etc.).
5. Follow up with the vendor until getting the readiness to arrange shipment.
6. Nominating Freight forwarder for the shipment after analysing tendering process.
7. Pre-Shipment follow-ups with vendors and forwarders to ensure shipment processes are managed properly.
8. Creating Shipments in SAP System - Inbound Creation, Shipment Creation, Cost Creation.
9. SABER document process for KSA Shipments.
10. Post-Shipment follow-ups with the vendor and forwarders to collect original shipment documents on time for customs clearance.
11. Tracking Shipment and updating events in the SAP system (ETD/ETA/ATP etc.).
12. Settling Shipment discrepancy (Excess/ Shortage).
13. Settling commercial invoice variance.

1. Procurement and Sourcing:

1. Supplier Management: Identifying, evaluating, and selecting suppliers for raw materials, goods, and services. Building and maintaining strong relationships with suppliers to ensure reliable supply and cost efficiency.
2. Negotiating Contracts: Negotiating terms and pricing with suppliers and vendors to secure favorable deals, ensuring the best quality at competitive prices.
3. Purchasing Materials: Coordinating the purchasing of materials required for production, ensuring that the right quantity is ordered at the right time to avoid shortages or excess stock.

2. Inventory Management:

1. Inventory Control: Overseeing inventory levels to ensure that the business has adequate stock without overstocking or understocking. This includes managing raw materials, work-in-progress (WIP), and finished goods inventory.
2. Stock Replenishment: Monitoring stock levels and establishing reorder points to maintain a balance between supply and demand.
3. Warehouse Management: Managing warehouses or storage facilities to optimize space, reduce costs, and maintain inventory accuracy.

3. Logistics and Distribution:

1. Transportation Coordination: Managing the movement of goods from suppliers to warehouses and from warehouses to customers. This involves selecting transportation methods (land, sea, air) and optimizing routes to reduce costs and delivery times.
2. Distribution Network: Overseeing the setup and management of distribution channels and ensuring timely and accurate delivery of goods to customers.
3. Outsourcing Logistics: If necessary, coordinating with third-party logistics (3PL) providers for warehousing, packaging, and shipping.

4. Demand Planning and Forecasting:

1. Demand Forecasting: Using historical data, market trends, and customer orders to predict future demand for products, ensuring that the supply chain is prepared to meet the forecasted demand.
2. Capacity Planning: Ensuring that the supply chain, from procurement to delivery, is scalable and capable of handling fluctuations in demand.

5. Supply Chain Optimization:

1. Process Improvement: Identifying areas within the supply chain that can be improved for greater efficiency and cost-effectiveness. Implementing process changes to streamline operations, reduce lead times, and minimize waste.
2. Technology Utilization: Leveraging supply chain management software (e.g., SAP, Oracle, Microsoft Dynamics) to track inventory, orders, and shipments, and to improve decision-making.
