Job description

Responsibilities:

  • Responsible for controlling the numbering, filing, sorting, and retrieval of electronically stored or hard copy documentation produced by technical teams, projects, or departments in a timely, accurate, and efficient manner.
  • Allocates and controls the document numbering system for the project work.
  • Works with precision to ensure that all electronic and hard copy filing is accurate and easily retrievable.
  • Responds in a timely manner to requests to retrieve information, information searches, and general requests for support from project/department personnel.
  • Acquires sufficient knowledge and understanding of the business to implement and develop an effective document handling system according to HZI guidelines.
  • Responds directly to daily issues/requests by using business practices and extensive experience in prioritizing.
  • Administration of PIRS document system.
  • Receives all deliveries to site.
  • Processes technical documentation and ensures documents are suitably stored.
  • Establishes, develops, and manages effective documentation systems and procedures and maintains relevant manuals/systems.
  • Ensures works within area of responsibility are executed in accordance with the contract and conform with project time, budget, and Health, Safety, Environmental, and Quality (HSEQ) requirements.
  • Delivers Lessons Learned and feedback for current and future projects.
  • Keeps the Site Manager or deputy informed of all site-related activities.

Qualifications:

  • ONC/HNC in Engineering, Computer Science, or Science (or equivalent).
  • Information Management or similar qualification.
  • Knowledge of relevant HSEQ legal and management system requirements.
  • Valid Safety Contractors Certificate (SCC), Safepass (ROI), CSCS, or CCNSG card or equivalent.
  • Good working knowledge of Microsoft suite applications with excellent knowledge of SharePoint.
  • Ability to work alone or as part of a team.
  • Solution-oriented.
  • Good forward planner.
  • Good communicator.
  • Good command of English; other languages an advantage.
