We are looking for a Site Administrator who will be responsible for maintaining organized and updated documents for the data centre operation. The role is responsible for overseeing site operations, coordinating site activities, managing documentation, and ensuring efficient communication among teams. This role is critical for maintaining smooth and effective site operations and providing administrative support to ensure all site operations functions run efficiently.
Key Accountabilities:
Ensure site adherence to health, safety, and environmental regulations.
Assist in the preparation of safety reports and maintain records of compliance activities.
Provide comprehensive administrative support to the Site Operations Manager and other site operations staff.
Manage office supplies, equipment, and inventory, ensuring availability and functionality.
Maintain and organize site documentation, including reports, records, and correspondence.
Ensure all documentation is accurate, up-to-date, and compliant with company policies and regulations.
Facilitate effective communication between site staff, management, and external stakeholders.
Coordinate and schedule meetings, including preparing agendas and distributing minutes.
Coordinate with vendors for site services and supplies, managing contracts and service agreements as needed.
Coordinate and support the site operations team with the CAFM planning of the preventive maintenance and corrective maintenance activities of site facilities.
Coordinate with site operations team, vendors and contractors to receive maintenance reports timely to enable prompt reporting as per set frequencies and deadlines.
Address and resolve facility-related issues promptly with the relevant stakeholders.
Assist in managing site operations, including scheduling, logistics, and coordination of site activities.
Process purchase orders, invoices, and expense reports in accordance with company procedures.
Track and manage site-related budgets and expenditures.
Ensure site IT systems and equipment are operational and assist with troubleshooting as needed.
Coordinate with IT support for technical issues and system updates.
Prepare and submit regular reports on site operations, incidents, and other relevant metrics.
The job holder is required to foresee and meet current and potential challenges presented by rapid operational and staff growth in creating and implementing effective human resources strategy.
The job holder exercises financial authority as per the level established by Khazna management and stipulated in the authority matrix.
Minimum Qualifications:
Associate's degree in business administration, Management, or a related field; Bachelor's degree preferred.
Minimum of 3 years of experience in an administrative operations role, preferably within a similar industry.
Strong organizational and time-management abilities.
Proficiency in CAFM & office software (e.g., Microsoft Office Suite) and basic IT troubleshooting.
Ability to handle sensitive information with discretion and confidentiality.
Strong problem-solving skills and attention to detail.
Excellent written communication & organizational skills with analytical ability to extract information and know where information is retained.
Working Conditions:
Office environment with occasional exposure to site facilities and operational areas.
May require occasional lifting of office supplies and equipment.
Standard working hours (max. 48Hrs per week) with flexibility as needed for site operations.
