Job description

Day to day responsibilities:

  • Responsible for fully computerized and ERP procurement, screening of requisitions, material procurement receipts, physical inspection, stacking, maintaining minimum and maximum level of critical and fast-moving items, and maintaining all procurement documents.
  • Interfacing with cross-functional departments for budgeting and planning the funds for procurement and sourcing of materials to ensure optimum utilization of materials, securing maximum cost savings, and meeting anticipatory orders for monthly operations.
  • Processing requisitions and purchase orders for supplies and equipment; following up for payments and receivables.
  • Participating in the development of specifications for equipment products or substitute materials; developing and implementing purchasing and contract management instructions, policies, and procedures.
  • Carrying out order planning, price negotiations, and coordinating with suppliers.
  • Organizing and developing RFP and RFQ documentation according to established policies and procedures, ensuring organizational requirements are captured effectively.
  • Liaising and coordinating with suppliers by collecting and providing all required information to ensure contractual terms and conditions are met.
  • Materials management purchase order work based on Oracle; online Purchase Order is prepared in the Oracle System; reconciliation of vendor statements with the system and manual. Stock verification, analysis of vendor performance, price variance, and purchase-related tasks.
  • Monitoring and analyzing new products and suppliers in the marketplace to suggest new initiatives to increase cost efficiency.
  • Collecting and analyzing data to ensure continuous tracking of relevant KPIs and achieve targets.
  • Assisting the accounts department and preparing billing documents.
  • Ensuring 100% compliance of internal and external audits and closing all observations and non-conformance on time.

Logistics and Supply Chain Management:

  • Devising efficient logistics management systems to ensure delivery of goods/shipments as per committed timelines and costs.
  • Preparing MIS reports of inward/outward logistics and apprising top management and users of routine inventory management activities; assisting in framing costing and proposals for logistic solutions.
  • Developing long-term partnerships with suppliers; managing day-to-day supplier performance to ensure meeting of services, cost, delivery, and quality norms; coordinating with suppliers for new product development and implementation.
  • Negotiating shipment terms, coordinating and tracking shipment clearance, duty exemption, and documentation for FTA submission.

Qualifications:

  • Minimum Bachelor Degree in Engineering (Mechanical) with 3-4 years of experience in procurement for MEP projects in building construction or industrial facilities.

Additional Information:

Experience Requirements:

  • Experience level: 3-4 years.
  • 2 years or more experience in UAE or Middle East.
  • Minimum 2 years as Procurement or Buyer in a similar business or industry.
  • HSE compliance and ability to work in multidisciplinary teams.

Skills & Professional Requirements:

  • Good at networking, excellent written and oral communication skills, data analysis, superior organizational skills, good negotiator, financial analysis skills, understanding of supply chain management procedures, logistics skills, and strategic planning abilities.
  • Knowledge of supply management software (database management, inventory management, financial analysis, procurement, project management, and enterprise resource planning) and general office programs; ERP solutions such as Oracle and SAP.

Attributes and Behaviours:

  • Strong working knowledge from Principals/OEMs/Manufacturers or with distributors.
  • Experience and knowledge of global shipping and logistics management and INCO terms.
  • Experience with ERP solutions; Oracle and SAP.
  • Strong demand planning & forecasting experience.
  • Proven working experience as Senior Buyer or Procurement Officer.
  • Knowledge of sourcing and procurement techniques as well as a dexterity in reading the market.
  • Excellent personality with strong communication, interpersonal, and organizational skills.
  • Strong computer skills including knowledge of Microsoft Office products, specifically Outlook, Excel, PowerPoint, and Word.
  • Ability to prepare negotiation strategies/techniques and participate/lead negotiations.
  • Good knowledge of project procurement execution (start to finish).
  • Good knowledge of Oil and Gas supply chain or related supply chain.
