Senior HR Associate - Fleet & Transport Services
The role involves overseeing fleet, insurance, and transportation operations. Responsibilities include coordinating fleet activities, managing transactions, ensuring compliance, handling permits, and supervising logistical operations. The Employee Services Senior Associate promotes safe and efficient transportation services, implementing good fleet management practices across all field sites. This includes overseeing day-to-day business needs, maintaining vehicle rotation systems, and ensuring adherence to maintenance, documentation, invoicing, and budget standards. The focus is on optimizing fleet operations and upholding company policies and regulations.
Key Responsibilities:
Fleet Management:
- Oversee all aspects of company fleet operations, including acquisition, maintenance, and disposal.
- Maintain accurate records of vehicle transactions and review/allocate traffic fines.
- Manage permits, annual registrations, and truck inspections.
- Respond to staff requirements in line with policies and regulations.
Government Relations and Compliance:
- Monitor government policies and ensure compliance with traffic and transportation regulations.
- Address compliance risks, maintain relationships with regulatory bodies.
Reporting and Analysis:
- Generate reports on vehicle performance, fuel consumption, and maintenance costs.
- Review lease agreements and fuel invoices, providing insights for improvement.
Logistics Operations:
- Develop and manage bus routes and schedules, optimizing routes as needed.
- Liaise with transportation companies and address route performance issues.
Employee Services:
- Handle employee inquiries and concerns about transportation services.
- Provide information on schedules, regulations, and policies, resolving complaints promptly.
Advanced Data Management and Reporting:
- Review lease agreements and vendor contracts, streamline procurement processes.
- Utilize advanced Microsoft Office tools for efficient data management, analysis, and reporting.
Technology Integration for Logistics Optimization:
- Research and implement innovative technologies for route planning and real-time tracking.
- Stay updated on emerging technologies for transportation efficiency.
- Develop contingency plans for potential disruptions to transportation services.
- Collaborate with cross-functional teams for resilient transportation strategies.
Continuous Improvement and Innovation:
- Foster a culture of continuous improvement and implement innovative solutions.
- Stay informed about industry trends in fleet management and logistics.
Insurance Management:
- Communicate with insurance, report accidents, and initiate property damage claims.
- Maintain accurate records of all insurance policies for company vehicles.
Qualification & Experience:
- BSc in Business Administration/Operational Logistics or a relevant field.
- Experience: 5+ years of solid proven experience as a fleet and transport expert.
