ABOUT THE ROLE

Location: Dubai, UAE

The Senior Executive Assistant will play a pivotal role in curating and delivering extraordinary, bespoke experiences that redefine excellence. This position entails providing high-level administrative support to the CEO, COO, and other Executive Committee members, ensuring seamless coordination and top-tier assistance.

Reporting directly to the COO, the role requires a dynamic, resourceful, and creative professional who thrives in an entrepreneurial environment. The ideal candidate will demonstrate exceptional judgment, strong communication skills (both written and verbal), outstanding organisational abilities, and the capacity to juggle multiple priorities effectively.

This is a unique opportunity to work in close partnership with top executives, ensuring their time, energy, and focus are optimally managed while contributing to the company's broader success.

RESPONSIBILITIES

  1. Provide high-level executive assistance to the COO, CEO, CFO, and the Group General Counsel.
  2. Manage calendars and meeting scheduling for C-level executives, ensuring efficient time management.
  3. Organise and coordinate board meetings, including preparing board packs and agendas, materials.
  4. Provide a bridge for smooth communication between the COO-CEO's office and internal departments.
  5. Organising, overseeing, monthly and weekly meetings, email organisation and assisting the board members.
  6. Manage flight and hotel check-ins, airport transfers, and calendar bookings for C-level executives.

PEOPLE

  1. Supervising the office management and staff 'Admin team.
  2. Responsible for DMCC contracts new hire entry to employments platforms and execute the work permits ensuring Kerten Hospitality's compliance with UAE regulations.
  3. Collaborating chairman's requests and communicating/supporting the personal assistance of chairman.

COMMUNITY

  1. Enhance the organisation's outreach by coordinating with community partners and stakeholders.
  2. Foster relationships with key external contacts, including clients, partners, and other business associates.

GROWTH

  1. Engage in continuous learning and development to stay abreast of industry trends and administrative best practices.
  2. Develop internal processes and systems to improve efficiency and effectiveness.

EXPERIENCES & SKILLS

  1. BSc in Business Administration, Management, or related field preferred.
  2. Minimum of 5 years of experience in executive assistant or similar roles.
  3. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  4. Experience with calendar management, meeting coordination, and travel arrangements.
  5. Familiarity with UAE regulations regarding employment, work permits, and contracts to ensure compliance.
  6. Commitment to continuous learning and development to stay updated on industry trends and best practices in administrative support.
