We are looking for a confident, experienced, and well-spoken individual to act as a Secretary / Personal Assistant. To provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the CEO’s working life and communication. Should be smart, talented, and possess Personal Assistant experience.
Responsibilities
Act as the point of contact between the CEO and all internal/external communications
Screen and direct phone calls and distribute correspondence
Handle requests and queries appropriately
Manage diary and schedule meetings and appointments
Make travel arrangements
Take dictation and minutes
Excellent Communication Skills – Written and Verbal (fluent in English / Arabic)
Smart, assertive, and organized
Proficient in Microsoft Office applications
Willing to work extended hours
Able to work under pressure
Must be a team player
Keep records of clients
Assist agents regarding document issuance
Provide client support
Able to draft letters and correspondence and file documents
Data entry and documentation
Manage mail
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Excellent knowledge of MS Office
Coordinate office activities and operations to secure efficiency and compliance with company policies
Manage phone calls and correspondence (e-mail, letters, packages, etc.)
Create and update records and databases with personnel, financial, and other data
Track stocks of office supplies and place orders when necessary
Submit timely reports and prepare presentations/proposals as assigned
Qualifications:
Bachelor's degree in business administration, office management, or a related field.
Proven experience in office management, administrative support, or personal assistance roles.
