Job description

We are looking for a confident, experienced, and well-spoken individual to act as a Secretary / Personal Assistant. To provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the CEO’s working life and communication. Should be smart, talented, and possess Personal Assistant experience.

Responsibilities

  1. Act as the point of contact between the CEO and all internal/external communications
  2. Screen and direct phone calls and distribute correspondence
  3. Handle requests and queries appropriately
  4. Manage diary and schedule meetings and appointments
  5. Make travel arrangements
  6. Take dictation and minutes
  7. Excellent Communication Skills – Written and Verbal (fluent in English / Arabic)
  8. Smart, assertive, and organized
  9. Proficient in Microsoft Office applications
  10. Willing to work extended hours
  11. Able to work under pressure
  12. Must be a team player
  13. Keep records of clients
  14. Assist agents regarding document issuance
  15. Provide client support
  16. Able to draft letters and correspondence and file documents
  17. Data entry and documentation
  18. Manage mail
  19. Excellent organizational and leadership skills
  20. Familiarity with office management procedures and basic accounting principles
  21. Excellent knowledge of MS Office
  22. Coordinate office activities and operations to secure efficiency and compliance with company policies
  23. Manage phone calls and correspondence (e-mail, letters, packages, etc.)
  24. Create and update records and databases with personnel, financial, and other data
  25. Track stocks of office supplies and place orders when necessary
  26. Submit timely reports and prepare presentations/proposals as assigned

Qualifications:

  1. Bachelor's degree in business administration, office management, or a related field.
  2. Proven experience in office management, administrative support, or personal assistance roles.
  3. Must have a Driver’s License
