Greet and welcome guests as soon as they arrive at the office.
Answer, screen and forward incoming/outgoing calls, emails, etc.
Provide basic and accurate information in-person and via phone/email.
Ensure that the reception area is tidy and presentable at all times.
Monitor office supplies of stationaries and other related materials such as pens, forms, and brochures.
Provide Company tax invoices as required.
Daily update of attendance sheet, payments of projects, and daily expenses of the company using Google Sheets.
Provide updated statement of accounts for the clients and V.A.T. on Google Sheets.
Professionally assist other office staff & engineers to meet their requirements such as orders, document-related reports, drawings, and other materials.
Handle legal paperwork and documentation of the company.
Handle business approvals, employee and employer visa services, license renewal, and implementation of government mandates.
Schedule appointments, maintain calendar, allocate sales managers, engineers, staff, and labor time.
Prepare reports and timesheets data, including time in and out.
Maintain awareness of key industry trends and pricing as well as development of new services and material changes, rates, and quantity.
Prepare and send inquiries, quotations, and LPOs to different manufacturers, companies, and agents.
Handle all important company records and suppliers' credentials with integrity.
Accurately deliberate orders and instruct proper protocols required to meet the target dates and deadlines of materials.
Coordinate with technical engineers for required drawings & quantity of materials needed at site projects.
Maintain and update accurate reports & records of site materials & inventory of the company.
Establish rules & regulations, policies, and procedures of the company according to the management of materials for new projects.
