Join Our Team in Abu Dhabi’s Thriving Oil & Gas Sector as a Sales Coordinator

Are you an organized and proactive professional with a knack for seamless coordination?

We are seeking an experienced Sales Coordinator to manage our order processing activities, ensuring effective communication between internal teams, vendors, and clients. This role offers the opportunity to contribute significantly to our sales operations and client satisfaction.

Key Responsibilities

Order Processing & Documentation:

  1. Prepare and manage Client Sales Orders (SOs) and Local Purchase Orders (LPOs) in the ERP system.
  2. Issue Supplier Purchase Orders (POs) based on client orders and approved agreements.
  3. Generate delivery notes, invoices, and credit notes as required.
  4. Ensure timely submission of supplier invoices and maintain accurate records.
  5. Acknowledge client orders and coordinate with vendors regarding LPOs and delivery schedules.

Logistics & Client Coordination:

  1. Collaborate with logistics and warehouse teams to ensure prompt material dispatch.
  2. Communicate with clients about order statuses and delivery schedules.
  3. Coordinate client delivery appointments and issue necessary shipping documents.

Vendor & Supplier Management:

  1. Monitor supplier delivery schedules and coordinate material dispatch/collection.
  2. Ensure supplier POs are authorized and submitted per guidelines.

Reporting & Documentation:

  1. Prepare and submit vendor/supplier documents to the Accounts department.
  2. Maintain organized records and correspondence in the ERP system.
  3. Compile and upload files in SAP for documentation purposes.

Reports Preparation:

  1. Generate and maintain various reports, including Invoice Monitoring, Sales Order Reports, and Delivery Status Reports.

Additional Support Tasks:

  1. Assist in front office duties and provide backup support during staff absences.
  2. Perform other duties as assigned by the Sales Support Supervisor.

Requirements:

Education:

Bachelor’s degree in business administration or related field.

Experience:

Minimum of 3 years in a similar role, demonstrating expertise in order processing and client coordination.

Languages:

Fluency in English is essential; proficiency in Arabic is preferred.

Software:

Proficiency in MS Office and experience with ERP systems.
