Roles and Responsibilities

  • A Sales Coordinator is responsible for supporting the sales team by managing administrative tasks, assisting with sales strategies, and ensuring smooth coordination between departments to maximize sales and customer satisfaction. They act as a liaison between the sales team, customers, and other departments such as marketing, operations, and customer service, helping to streamline processes, track sales progress, and ensure efficient communication.

    Here are the key skills and responsibilities of a Sales Coordinator:

  • Sales Support and Administration
    • Sales Documentation: Prepare, organize, and maintain sales-related documents, such as quotes, contracts, proposals, and order forms, ensuring accuracy and timely delivery.
    • Data Entry and Tracking: Enter sales data into CRM systems or databases, track progress against sales targets, and assist in reporting on sales metrics.
    • Preparing Sales Reports: Assist in preparing regular reports on sales performance, lead generation, conversion rates, and other relevant metrics for management.
    • Maintaining Sales Records: Ensure that all sales records are up to date and properly filed for easy access by the sales team or management.
  • Client Relationship Management
    • Liaising with Clients: Communicate with clients to confirm details, follow up on inquiries, and manage any post-sale requirements or concerns.
    • Customer Support: Provide support to customers by answering questions, resolving issues, and ensuring their needs are addressed promptly and professionally.
    • Tracking Client Preferences: Keep track of client preferences, previous purchases, and any special requests to enhance customer satisfaction and foster long-term relationships.
  • Sales Team Coordination
    • Scheduling Meetings and Appointments: Assist in coordinating meetings, calls, and appointments for the sales team with clients, prospects, or other stakeholders.
    • Supporting Sales Strategies: Assist the sales team in developing and implementing strategies for lead generation, marketing campaigns, and sales promotions.
    • Team Communication: Facilitate communication within the sales team, ensuring all team members are informed of updates, tasks, or changes in plans.
    • Coordinating Events: Help organize and manage sales events, trade shows, or conferences, ensuring logistics are handled efficiently.
  • Order Management
    • Processing Orders: Receive, verify, and process orders from clients, ensuring that all details are correct and timely.
    • Order Follow-Up: Track orders to ensure timely delivery, coordinating with logistics or supply chain teams to resolve any delays or issues.
    • Handling Invoices and Payments: Prepare and send invoices, track payments, and ensure that any issues with billing or payment are addressed in a timely manner.
  • Market Research and Analysis
    • Conducting Market Research: Assist in gathering market data, competitor information, and customer feedback to support sales strategies and decision-making.
    • Identifying Opportunities: Help identify potential sales opportunities or gaps in the market, providing insights to the sales team to drive new business.
    • Customer Trends: Monitor customer trends and behaviors, helping to anticipate needs and tailor sales efforts accordingly.
  • Sales Forecasting and Planning
    • Tracking Sales Progress: Monitor sales pipelines and forecasts to ensure targets are being met and provide updates on projections.
    • Assisting with Goal Setting: Support the sales team in setting realistic sales goals and tracking performance against them.
    • Adjusting Sales Strategies: Help adjust sales strategies or tactics based on performance data, market trends, or customer feedback.

Desired Candidate Profile

  • Maintaining files and filing system of accounts.
  • Ensuring development, maintenance & management of all Hotel Sales databases.
  • Coordinating sales team by managing schedules, filling important documents and communicating relevant information.
  • Prepare proposals for new and existing customers and facilitate showing of facilities and services in support of the sales managers, when needed.
  • Contracting bookings and assisting the sales team in the execution of the sales process.
  • Supporting the sales team in administrative tasks such as preparing group resumes, preparing expense reports, processing commissions, etc.

What You Bring

  • A minimum of at least 2 years of administrative or sales coordinating experience in a similar role in a luxury brand.
  • Working knowledge of hotel operating systems such as Golden, Opera, or Delphi.
  • Minimum 1 year of experience in selling group room blocks, catering, and conference center sales and ability to effectively engage in sales lead generation.
  • Proficient in English and Arabic (speaking, reading, writing).
