Job description

Our client is hiring a dynamic Sales Coordinator to be based in Dubai, UAE.

The purpose of this job is to enable Sales and Key Account Management to maximize their customer facing time. The position will interact with the Sales Team, Sales Management, Customer Service and selected Customers. The position reports to an EMEA Marine Market Manager and is responsible for a range of activities essential to support the sales team in pre-sales and sales activities to improve win rate and grow market share. In the total Sales Process, Customer Care is focusing on opportunity to order and next Customer Service takes over in the order to invoice activities.

Key activities include:

  1. Customer Account Set-up: Setting up customer accounts, activating them in ERP and CRM systems, updating and maintaining relevant information, organizing export compliance checks. Ensuring that credit limits are correct and fit for growth in accordance with policies and guidelines.
  2. Specifications & Tenders: Collect and analyze customer needs and requirements, preparing accurate specifications and documentations based on the Key Account Manager's requirements, compiling all necessary tender documents, ensuring their completeness and accuracy. Regularly updating and maintaining documents to reflect any changes or updates and coordinating the timely submission of documents to customers, ensuring compliance with guidelines and regulations.
  3. Quotes, Prices, Contracts: Maintaining contracts by ensuring their accuracy, completeness, and compliance with relevant terms and conditions. Creating price lists and quotations in accordance with the directions provided by the Key Account Manager. Coordinating the timely delivery of price lists and quotations to customers, ensuring their accuracy and alignment with customer requirements. Notifying all relevant internal stakeholders about new contracts, price changes, and other relevant updates to ensure proper coordination and alignment across the organization.
  4. Pipeline support and maintenance: Alerting and supporting the Market Managers and Sales Key Account Managers for upcoming Seastock renewals and Dry Dock schedules. Keep Sales Force and forecasting files for key opportunities and products up to date.
  5. Sales Administrative: Generating and preparing various reports, including internal reports for management, external reports for stakeholders, and reports for customers, ensuring accuracy and timeliness. Maintenance of warranties, contracts, ensuring proper documentation and adherence to established procedures. Coordinating the resolution of technical complaints by liaising with relevant departments and ensuring timely and satisfactory resolution for customers. Coordinating events, such as conferences or product launches, by managing logistics, coordinating with vendors, and ensuring smooth execution. Maintaining merchandise inventory and displays, ensuring proper organization and availability of promotional materials.

Skills and knowledge:

  1. Project Management: Ability to effectively plan, organize, and manage multiple tasks and projects simultaneously, ensuring timely completion and adherence to deadlines.
  2. Documentation: Proficiency in creating and maintaining accurate and organized documentation, including customer records, contracts, tenders, and other relevant documents.
  3. CRM (Customer Relationship Management): Support effective use of the CRM process.
  4. Service Orientation: Strong focus on providing excellent customer service, understanding customer needs, and ensuring customer satisfaction throughout the sales process.
  5. Builds Customer Loyalty: Works with full competence to make every customer interaction positive by leaving the customer feeling understood, appreciated, and confident in the organization's ability.
  6. Communication: Excellent verbal and written communication skills to effectively interact with internal teams, customers, and stakeholders, conveying information clearly and professionally.
  7. Masters Service Conversations: Works with full competence to navigate customer conversations by leveraging the four parts of a service conversation: open, learn, reply, and close.
  8. Digital data savvy: Use, configure and manipulate data from digital sources, platforms and available systems.
  9. Attention to Detail: Strong attention to detail to ensure accuracy in customer account set-up, tender documents, quotations, and contract management.
  10. Problem-Solving: Strong problem-solving skills to address customer inquiries, resolve issues, and coordinate with internal stakeholders to ensure smooth sales operations.
  11. Organizational Skills: Effective organizational skills to manage and prioritize tasks, maintain documentation, and meet deadlines in a fast-paced sales environment.
  12. Managing Change: Apply a change mindset to the planning, execution and monitoring of business activities during change.
  13. Teamwork: Collaborative mindset and ability to work effectively as part of a team, supporting the sales team and coordinating with various internal departments to achieve common goals.
