Role Description

We are looking for a highly organized and detail-oriented Sales Operations & Client Support Executive to manage internal sales processes, coordinate back-office tasks, and ensure timely follow-ups and documentation flow between clients, design, production, and logistics teams. This role is focused on sales enablement, ensuring every project is tracked, followed up on, and documented smoothly and professionally.

Sales Support & Internal Coordination

  • Manage internal sales files, track active opportunities, and keep CRM or project sheets updated.
  • Prepare client quotations, presentations, and commercial documentation in coordination with the sales and design teams.
  • Ensure all required materials (drawings, samples, pricing info, timelines) are compiled and submitted to clients on time.

Client Follow-Ups & Documentation

  • Send formal follow-up emails and responses to clients regarding pending approvals, missing information, or updates.
  • Track feedback and status on ongoing proposals, orders, and approvals.
  • Coordinate internally with production, procurement, and logistics teams to update the sales team and clients on status.

Process Management

  • Maintain organized records of all correspondence, signed POs, contracts, client communications, and project files.
  • Assist with onboarding new clients and ensuring all documents and processes are in place before project kick-off.
  • Support invoicing coordination and track outstanding payments and milestones in collaboration with accounting.

Qualifications & Skills

  • Bachelor's degree in Business Administration, Marketing, or related field.
  • 2-4 years of experience in a sales coordination, back-office, or sales operations role.
  • Strong organizational and communication skills (written and verbal).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with CRMs is a plus.
  • Detail-oriented, methodical, and able to manage multiple tasks with accuracy and follow-through.
