The Rooms and Reservations Coordinator is responsible for ensuring seamless reservation and room allocation processes to deliver a luxurious guest experience. You will support the Rooms Division & Reservations department in managing daily operations, delivering exceptional service, and embodying the hotel’s luxury standards. Your role will require excellent organizational skills and a passion for creating outstanding guest experiences.
What will I be doing?
The Rooms and Reservations Coordinator will work closely Rooms Division & Reservations team. Specifically, you will be responsible for performing the following tasks to the highest standards:
- Provides administrative support to the Rooms Division & Reservations department.
- Monitors all Front Office/Reservations related orders and ensures guest supplies are maintained at stock level or if needed, expedited delivery.
- Ensures all new joiners receive fully functional access and tools.
- Prepare and submit the Front Office/Reservation’s payroll in a timely manner.
- Maintains current, accurate knowledge of Forbes standards and ensures the communication to the guest is courteous and personal.
- Be the liaison between Front Office/Reservations and other departments
- Monitor Out of Order/Out of Service rooms and coordinate with the concerned teams
- Monitor the Personal Concierge & Reception emails and action accordingly
- Ensure compliance with financial systems
- Schedule Personal Assistance colleagues as per operational demands
- Ensure group rooming lists are correctly entered into the Property Management System
- Monitor the Reservations/Personal Assistance departments’ workload and prioritize tasks
- Work with the Reservations team to manage group bookings and VIP arrivals.
- Coordinate and assign rooms to guests based on availability and guest preferences.
- Monitor room inventory daily to ensure accurate tracking and maximize occupancy.
- Manage special requests such as adjoining rooms, specific views, or room configurations.
- Comparing inventory with Opera and R&I and alert Reservations and Rooms Controllers on any discrepancy.
- Assist with operations when needed

- 3-5 years in a reservation sales environment or related hospitality discipline required
- Excellent analytical, problem solving, multi tasking, organizational and administrative skills
- Excellent communication (verbal and written), interpersonal and team management/development skills
- Proven report writing and presentation skills
- Able to work efficiently, independently and cohesively, producing quality results within strict deadlines, in a multi cultural environment
- Working knowledge of Opera Reservations and Property Manager or equivalent system
- Proficient with Microsoft Windows applications in particular MS Word, Excel and Outlook required
