Registration Officer - OHSC Medical Centre

Job Purpose

To provide excellent registration service to our Occupational Health customers and ensure smooth operations within the EOHSC center. Registration staff will be assisting customers with their document registration needs and ensuring accuracy and efficiency in the registration process.

Principal Accountabilities

  1. Assist customers with document registration, ensuring compliance with relevant regulations and guidelines.
  2. Verify the information entered by Typing staff.
  3. Resolve any registration-related issues or discrepancies in a timely and efficient manner.
  4. Provide guidance to customers regarding the required documentation and any additional steps necessary for successful registration.
  5. Collaborate with various departments internally and externally.
  6. Accurately enter customer information into the registration system and maintain comprehensive and up-to-date records.
  7. Answer customer inquiries and address concerns or issues promptly and courteously.
  8. Adhere to confidentiality guidelines when handling sensitive customer information.
  9. Assist with administrative tasks as assigned by the supervisor.
  10. Provide efficient and professional administrative support, schedule appointments, and manage patient records.
  11. Register new patients and update existing patient information accurately in the electronic health record system.
  12. Schedule appointments for occupational health services, ensuring proper documentation and adherence to appointment protocols.
  13. Answer incoming calls, address inquiries, and transfer calls to the appropriate staff members.
  14. Provide accurate and timely information to patients regarding services offered, fees, and appointment availability.
  15. Verify insurance coverage and obtain necessary authorizations or referrals as required.
  16. Coordinate and maintain the appointment schedule, ensuring optimal utilization of resources.
  17. Assist with the completion of forms, reports, and other administrative documents.
  18. Collaborate with the healthcare team to facilitate smooth patient flow and resolve any scheduling or administrative issues.
  19. Follow established procedures for maintaining security and confidentiality of patient and employee information.
  20. Greet and welcome customers in a friendly and professional manner.
  21. Maintain a clean and organized workspace, ensuring all necessary supplies and materials are readily available.

Minimum Requirements

  1. Relevant experience as an admin or in a similar customer service role (preferably in a healthcare setting).
  2. High school diploma or equivalent.
  3. Associate degree or certification in healthcare administration is a plus.
  4. Good knowledge in using computer systems, electronic health record (EHR) software, and standard office equipment.
  5. Good communication skills in English and interpersonal skills.
  6. Strong organizational skills, attention to detail, and the ability to multitask effectively.
  7. Ability to handle sensitive and confidential information with discretion and integrity.
  8. Customer service-oriented mindset with the ability to remain calm and composed in stressful situations.
  9. Knowledge of medical terminology and insurance processes (Optional).
  10. Flexibility to work during extended hours or weekends as required.

*Candidates who have experience with DHA processes/formalities are preferred for this role.
