Role Purpose
The Admin Assistant will work onsite at the Dubai regional office to support the Public Relations Officer in managing employee documentation such as visas, labour approvals, medicals, ID cards, etc. This role is critical in ensuring compliance with labour laws and supporting the administrative processes, allowing the PRO to concentrate on public relations initiatives.
Key Accountabilities
Document Management
- Collect, organize, and manage employee documentation, including visas, labour cards, and other essential permits required by UAE labour laws.
- Regularly review and update employee records to ensure all visa-related documentation is current, complete, and compliant with local regulations.
- Prepare and organize documentation for audits and compliance checks, facilitating the review process and addressing any discrepancies related to visa statuses.
Visa and Immigration Specialist
- Assist employees with the visa application process, including preparing necessary documents, completing application forms, and liaising with government authorities as needed.
- Monitor visa expiry dates and work closely with employees to ensure timely renewals, avoiding any lapses in compliance with UAE immigration laws.
- Provide guidance and support to employees regarding visa regulations, residency permits, and labor laws, ensuring they are informed of their rights and obligations.
Administrative Support
- Provide comprehensive administrative assistance to the Public Relations Officer.
- Support the PRO in managing correspondence related to visa and labor documentation.
Record Keeping
- Maintain an accurate and up-to-date filing system for all employee documents, with a specific focus on visa and immigration records, ensuring easy access and retrieval of information.
Collaboration
- Collaborate closely with PX and other departments to ensure all employee documentation, including visas, aligns with organizational policies and legal requirements.
- Assist in onboarding new employees by preparing documentation related to visas and residency permits, health checks, and orienting them on administrative processes, ensuring a smooth integration into the team.
Required Experience
- Bachelor's degree
- 1-2 years experience in a similar role with UAE labour law experience
- Based in Dubai
- Excellent fluency in English
- Effective communication and interpersonal skills, able to engage effectively with all levels of the organization
- Highly organized individual
