As a receptionist front desk in a medical center, you will be the first point of contact for patients and visitors. Your primary responsibility is to ensure that all patients are welcomed in a friendly and professional manner and that their needs are attended to promptly. You will be responsible for answering phone calls, scheduling appointments, and handling patient inquiries. You will also assist in the administrative tasks of the medical center.
Key Responsibilities:
Greeting patients and visitors in a friendly and professional manner
Answering phone calls and directing them to the appropriate department
Scheduling appointments for patients and managing the appointment book
Ensuring patient information is accurate and up-to-date in the electronic medical records system
Handling patient inquiries and providing them with the necessary information
Maintaining the reception area, ensuring it is clean, tidy and presentable at all times
Assisting with administrative tasks such as filing, scanning, and data entry
Coordinating with other departments within the medical center to ensure smooth patient flow and care coordination
Ensuring compliance with medical center policies and procedures
Maintaining patient confidentiality at all times
Performing any other duties as assigned by the management
Responding to calls, emails, and routine letters; directing inquiries to the appropriate person or department
Managing schedules and calendars; arranging, coordinating, and scheduling meetings; preparing meeting documents for the managing director
Proofreading and editing documents to ensure proper spelling and grammar as well as compliance with company policy; recommending revisions as needed
Office Duties:
Developing and maintaining a filing system
Updating and maintaining office policies and procedures
Maintaining contact lists of patients
Providing support to visitors, patients, and teamwork
Performing general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing, maintaining hard copy and electronic filing system
Assisting other departments where necessary
Ensuring upkeep of office
Maintaining stationery and office supplies
Key Skills and Qualifications:
At least 3 years of prior administrative experience (Medical background required)
Excellent computer skills, especially typing
Multilingual may be preferred
Desire to be proactive and create a positive experience for others
