The Receptionist cum Personal Assistant (PA) provides comprehensive administrative, clerical, and document control support. The role involves managing routine office tasks, assisting multiple departments, ensuring efficient communication and organization within the company, and maintaining proper document control practices.
Responsibilities:
- Answer, screen, and transfer incoming telephone calls, handling general inquiries and providing information to callers.
- Greet and welcome visitors and guests, ensuring a professional and pleasant experience.
- Coordinate and manage guest appointments, including informing relevant team members and arranging meeting rooms.
- Maintain and organize the filing system (both electronic and physical) for efficient document retrieval.
- Draft, copy, and distribute business correspondence as required.
- Manage and maintain calendars for senior management, including scheduling meetings and appointments.
- Sort and distribute incoming correspondence and emails, while organizing outgoing communications.
- Provide administrative and clerical support to the Documentation Department by ensuring project-related submittals are up-to-date and properly filed.
- Take minutes during meetings when required and ensure timely dissemination of notes.
- Ensure proper organization and safekeeping of all documents, correspondence, and records.
- Maintain document control registers and ensure all documentation is properly numbered, filed, and archived.
- Prepare and submit documentation for project-related approvals to consultants and other stakeholders.
Qualifications and Skills:
- Graduation with minimum 3 to 5 years proven experience in a similar role, preferably as a Receptionist, Personal Assistant, or Document Controller.
- Strong organizational skills with attention to detail.
- Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with document control practices and content management systems is a plus.
- Excellent verbal and written communication skills in English.
- Ability to multitask and handle confidential information with discretion.
- Strong interpersonal skills and a professional demeanor.
- Friendly and welcoming personality with the ability to manage guests professionally.
