We are seeking a highly organised and proactive Listing Admin & Receptionist to join our dynamic team in Dubai. In this role, you will be the first point of contact for clients and visitors, providing exceptional customer service while managing all administrative tasks related to property listings. Your attention to detail, excellent communication skills, and ability to multitask will be essential in contributing to our company's success and reputation in the real estate sector.

Responsibilities will include, but are not limited to:

  1. Assisting the CEO and COO with any admin requests and general team support.
  2. Maintain and manage the PF Expert CRM.
  3. Listing new properties in the PF Expert CRM, Bayut & Dubizzle.
  4. Adding new account users (both Property Finder CRM, Bayut & Dubizzle Portfolio).
  5. Registering new listed properties in DLD Trakheesi system.
  6. Coordinate with the agents regarding unit availability and marketing.
  7. Advertising and verifying properties in Property Finder.
  8. Meet and greet clients to determine the purpose of their visit and direct them to the relevant team member.
  9. Answering all phone calls, ensuring they are transferred to the right department with a friendly phone manner.
  10. Receiving deliveries and packages from all couriers and allocating them to the right person.
  11. Assisting the agents by copying, scanning, and printing documents as needed.
  12. Handle general office tasks such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
  13. Monitor all agents when they qualify for RERA and ensure their accounts are verified on the portals.
  14. Check that all RERA qualified agents' listings are up to date and of good quality to qualify for super-agent.

What we're looking for:

  1. Minimum 1 year+ experience as a Listing Administrator or Listing Coordinator - This is a MUST.
  2. Minimum 2 years proven work experience as a Receptionist, Front Office Representative, or in a similar role.
  3. Real Estate knowledge is necessary.
  4. Proficiency in Microsoft Office Suite.
  5. Hands-on experience with office equipment (e.g., fax machines, printers).
  6. Professional attitude and appearance.
  7. Solid written and verbal communication skills.
  8. Ability to be resourceful and proactive when issues arise.
  9. Excellent organisational skills.
  10. Strong multitasking and time-management skills, with the ability to prioritise tasks.
  11. Customer service-oriented attitude.
  12. High school diploma; additional certification in Office Management is a plus.
