Receptionist/Admin Co-ordinator

We are looking for a driven and enthusiastic Receptionist/Admin Co-ordinator to join our energized team in Dubai.

Key Responsibilities:

  1. Manage incoming calls, provide relevant information and direct calls to staff.
  2. Greeting visitors & informing the concerned staff.
  3. Responsible for receiving and sorting out all mails, couriers, faxes and ensure correct & timely delivery of the same.
  4. Ensure the front office is neat, organized, and welcoming to visitors.
  5. Responsible for getting the housekeeping and maintenance work done.
  6. Responsible for checking inventory of stationary and ordering new stock whenever required.
  7. Responsible for booking meeting rooms for office staff meetings and arranging the rooms for meetings when required, also re-arranging the rooms once the meetings are over.
  8. Responsible for hostess (tea/coffee etc service/pantry) activities, quality and reliability.
  9. Responsible for driver activities and maintaining daily roster, schedule for the day, planning & executing all deliveries and collections.
  10. Assist with flight/hotel bookings for business trips and other admin related work assigned from time to time.
  11. Any other specific assignment as assigned by management from time to time.

Skills & Qualification:

  1. 2-3 years work experience as a Receptionist or a similar role in a fast-paced office environment.
  2. Excellent knowledge of MS Office with proven expertise in spreadsheets and PowerPoint.
  3. Great computer skills and familiarity with office gadgets and applications (e.g. e-calendars, modern teleconferencing etc).
  4. Outstanding organizational and time management skills.
  5. Good command over English and attention to detail.
  6. Pleasant personality and exceptional telephone etiquette.
  7. Understanding of different social media platforms (Facebook, Instagram, Twitter, LinkedIn, TikTok, etc.).
  8. Able to multitask and have a cool temperament.
  9. Presentable, cheerful and professional with a Can Do attitude.
  10. Bachelor's degree.
