Job description

We are seeking a friendly, energetic and professional Receptionist to join our team.

The Receptionist will be the first point of contact for visitors, callers, and candidates, providing excellent customer service and administrative support.

Job Responsibilities

As a Receptionist, your responsibilities will include:

  • Greeting Visitors: Welcome visitors to the office with a warm and friendly demeanor. Direct visitors to appropriate personnel or meeting rooms.
  • Answering Calls: Manage incoming phone calls and route them to the appropriate recipients. Take messages and relay information accurately and promptly.
  • Managing Mail: Sort and distribute incoming mail and packages. Prepare outgoing mail for pickup or delivery.
  • Scheduling Appointments: Assist in scheduling appointments and meetings for employees. Coordinate meeting room bookings and equipment arrangements.
  • Administrative Support: Provide administrative support to various departments, including data entry, filing, and document preparation.
  • Maintaining Reception Area: Ensure the reception area is clean, organized, and well-presented at all times. Monitor and replenish office supplies as needed.
  • Visitor Registration: Register visitors and issue visitor badges as required. Ensure compliance with security procedures and access control policies.
  • Handling Inquiries: Respond to inquiries from visitors, callers, and employees courteously and professionally. Provide accurate information or direct inquiries to the appropriate person.
  • Assisting with Special Projects: Assist with special projects and tasks as assigned by office management or other team members. For example, organizing internal events and celebrations.
  • Adhering to Policies: Adhere to company policies and procedures, including confidentiality and security guidelines.

Qualifications and Experience

To be successful in this role, you should:

  • Have a high school diploma or equivalent qualification.
  • Possess excellent communication and interpersonal skills.
  • Be proficient in Microsoft Office suite and office equipment.
  • Demonstrate strong organizational skills and attention to detail.
  • Have the ability to prioritize tasks effectively.
  • Show professionalism and discretion in handling sensitive information.
  • Excellent level of English; Arabic is a plus.
  • Prior experience in a receptionist or customer service role is preferred but not required.
  • Maintain a flawless personal image (you will be the first person our visitors see when they arrive at our offices).
