Job description

We are seeking a highly organised and proactive Real Estate Administrator to assist in various aspects of the real estate sales process. This role involves coordinating with multiple stakeholders, managing documentation, and ensuring a smooth property transfer process. The ideal candidate will be detail-oriented, solution-driven, and capable of managing multiple tasks efficiently while providing excellent customer service.

Responsibilities:

  1. Sign the Sales Agreement: Draft and review the sales agreement between buyer and seller. Ensure both parties sign the Unified Form F and Agreement of Sale, making the transaction binding. Define terms, conditions, purchase price, and payment schedules in the agreement.
  2. Assist with Due Diligence: Help buyers verify the property's legal status, ownership, and liabilities. Assist in obtaining essential documents such as title deeds, survey reports, and No Objection Certificates (NOCs).
  3. Manage the Escrow Account: Facilitate secure transactions by managing the escrow account. Ensure funds are released to the seller upon contract fulfilment. Oversee the transparency of financial exchanges between buyer and seller.
  4. Handle Property Transfer Application: Prepare and submit all necessary documents to the Dubai Land Department (DLD) for the property transfer. Ensure documents such as the manager's cheque, buyer and seller ID, original NOC, and signed Contract F are in order.
  5. Coordinate Mortgage Clearances: Facilitate final payment and title deed transfer.
  6. Data Management: Assist with entering property data into the CRM system for new project listings and ensure data is accurate and up-to-date.
  7. Property Listing Review: Assist with reviewing property listings on platforms such as Property Finder to ensure accuracy, compliance, and optimal presentation. Keep track of developer agreements, assist with onboarding new developers, and ensure compliance with necessary requirements.

Required Skills and Qualifications:

  2. Self-Starter: A proactive individual capable of working independently and taking initiative to solve problems.
  3. Organisational Skills: Strong ability to multitask, prioritise workload, and manage timelines for various tasks and responsibilities.
  4. Solution-Driven: A problem-solver who can think on their feet and find solutions to challenges that arise during the sales progression process.
  5. Time Management: Excellent ability to manage time and handle multiple tasks efficiently in a fast-paced environment.
  6. Team Player: Ability to collaborate with colleagues, clients, and third parties, contributing to a positive and productive work environment.
  7. Technology Proficiency: Experience working with CRM systems and real estate platforms (Property Finder, Bayut, etc.) is a plus.

Requirements:

  1. Previous experience in real estate administration or sales progression is preferred.
  2. Strong understanding of the real estate transfer process, NOC applications, and property regulations.
  3. Excellent communication and interpersonal skills to liaise with clients, developers, and third-party service providers.
  4. Familiarity with tenancy documentation, including Ejari and tenancy contracts.
  5. Ability to attend transfer appointments at trustee offices as required.
