Job description

Project Coordinator plays a crucial role in assisting project managers with the planning, execution, and monitoring of projects. They handle day-to-day operations, ensuring that projects stay on track, deadlines are met, and resources are effectively allocated. The role often involves organizing, communicating, and documenting various aspects of a project, as well as providing support to the project team and stakeholders.

1. Project Management Knowledge

Project Lifecycle Understanding: Knowledge of the project management lifecycle, including initiation, planning, execution, monitoring, and closure, to effectively coordinate project activities.

Methodologies: Familiarity with different project management methodologies, including Agile, Waterfall, and Hybrid, enabling effective coordination across various project types.

Scheduling & Time Management: Expertise in creating and managing project schedules using project management tools (e.g., Gantt charts, task lists) to ensure timely completion of deliverables.

Task Management: Ability to break down the project into manageable tasks, assign responsibilities, track progress, and follow up on outstanding tasks.

2. Communication & Interpersonal Skills

Clear Communication: Excellent verbal and written communication skills to interact effectively with project managers, team members, and stakeholders, providing regular updates and clarifications.

Team Collaboration: Strong team collaboration skills, helping facilitate communication between cross-functional teams to ensure everyone is aligned and informed.

Stakeholder Engagement: Ability to communicate project goals, timelines, and expectations to internal and external stakeholders, ensuring a shared understanding of the project’s status.

Conflict Resolution: Strong interpersonal skills to manage and resolve conflicts or disagreements within the team or with stakeholders, ensuring the project remains on track.

3. Organizational Skills

Documentation & Reporting: Strong organizational skills to manage and track project documents, ensuring that project plans, schedules, and reports are updated and accessible. This includes maintaining meeting minutes, action items, and status reports.

Time Management: Ability to prioritize tasks effectively, balancing multiple responsibilities and deadlines to keep the project moving forward smoothly.

Detail-Oriented: Exceptional attention to detail to ensure all project activities, documentation, and reports are accurate and complete.

Meeting Coordination: Ability to schedule, organize, and facilitate meetings, ensuring that all necessary stakeholders are involved and that outcomes are documented and tracked.

4. Project Planning & Scheduling

Resource Management: Skills in identifying and tracking resources required for the project (personnel, equipment, materials) and ensuring they are available when needed.

Task Scheduling: Proficiency in creating and maintaining project schedules, using tools such as Microsoft Project, Asana to assign tasks, set deadlines, and monitor progress.

Milestone Tracking: Ability to monitor project milestones and deadlines, ensuring that key deliverables are met on time.

5. Problem-Solving & Critical Thinking

Issue Resolution: Ability to identify and resolve issues as they arise during the project, whether related to timelines, resources, or communication gaps.

Proactive Problem-Solving: Capacity to foresee potential problems and take proactive steps to mitigate risks or delays, ensuring the project stays on track.

Decision Support: Provide relevant information and data to project managers and team members to help them make informed decisions.

Risk Identification: Ability to identify potential risks and obstacles that could delay the project and communicate them to the project manager.

Risk Mitigation: Assist in developing and implementing risk mitigation plans, including contingency measures to minimize the impact of issues on the project timeline or quality.

Monitor Risks: Track and monitor identified risks throughout the project lifecycle and adjust strategies as necessary.

6. Technology & Software Proficiency

Project Management Tools: Proficiency in project management software such as Microsoft Project, Basecamp, or JIRA, to track tasks, timelines, and resources.

Collaboration Tools: Familiarity with collaboration tools like Slack, Microsoft Teams, or Zoom for communication and virtual meetings.

Document Management Tools: Experience with document management systems such as Google Drive, SharePoint, or Dropbox to store, share, and manage project documents.

Spreadsheet Tools: Proficiency in Microsoft Excel or Google Sheets for creating reports, tracking budgets, and managing schedules.

7. Budget & Financial Management

Budget Tracking: Ability to assist in managing project budgets, tracking expenses, and ensuring that costs are controlled and within the approved budget.

Invoicing & Payments: Assist in the preparation of invoices and ensuring that payments for services or products are processed promptly.

Vendor Coordination: Ability to liaise with external vendors and service providers, ensuring that they meet project timelines and quality standards.

Client Communication: Support project managers in communicating project updates to clients, gathering feedback, and managing client expectations.

Contract Management: Ability to assist with the management of vendor contracts, ensuring that terms and conditions are adhered to and that deliverables are met.

8. Quality Control & Assurance

Quality Monitoring: Assisting the project manager in ensuring that project deliverables meet the specified quality standards and that the project stays aligned with customer expectations.

Documentation Reviews: Reviewing project documentation to ensure accuracy and completeness, and ensuring that deliverables meet predefined standards.

Continuous Improvement: Suggesting and implementing improvements based on feedback and project performance reviews.

Multitasking: Ability to handle multiple tasks and projects simultaneously without compromising on quality or deadlines.

Adaptability: Flexibility to adjust to changing priorities, unexpected challenges, and evolving project requirements.

Stress Management: Ability to stay calm under pressure, managing competing deadlines and ensuring the project stays on track.
