Assist the Projects team with the execution of event-related operations. Coordinate logistical planning and manage event-day execution.
Administrative Functions
Provide administrative support to Senior- or Project Managers. Maintain and update the department's events calendar. Ensure documentation, such as meeting memos and event manuals, is prepared and distributed.
Planning & Execution
Develop and oversee detailed project plans addressing timelines, budgets, and resource allocation. Monitor and report timelines while ensuring quality and adherence to standards. Support in creating and executing event manuals covering all aspects of the project lifecycle.
Coordination
Act as a point of contact between departments, third-party suppliers, and stakeholders for seamless communication. Manage distribution of contracts, travel, and other logistical requirements.
Risk & Reporting
Support risk management processes and ensure comprehensive documentation of status reports, proposals, and requirements. Report on milestones, risks, and overall project progress.
Creative & Conceptual Contributions
Research, brainstorm, and support the development of creative event concepts. Engage in workshops to share and transfer ideas for innovation.
Post-Event Responsibilities
Support in the reconciliation of events/projects to ensure financial and operational closure.
Compliance
Follow established standards, procedures, and compliance guidelines.
Experience
Min 3 years proven background in event or project coordination/management.
Experience in planning and executing events, managing budgets, and collaborating with stakeholders.
Familiarity with risk management and compliance procedures.
