Job Title: Project Coordinator/Project Executive

We are seeking a Project Coordinator or Project Executive to join our client's Event Management/Exhibition team.

Job Responsibilities
  1. Customer Records Management: Ensure the accuracy and completeness of all customer records across various systems including CRM, order management, database, billing, payment records, floor-plans, and exhibitor lists. These records must be up-to-date and correct, as they are crucial for internal and external service providers and delivery teams.
  2. Customer Enquiries: Handle a diverse range of customer inquiries (sales, operational, administrative, and financial) in a timely and efficient manner. Strive to resolve issues immediately or refer them to the appropriate department. A broad understanding of the exhibition process and excellent communication skills are essential.
  3. Floor-plan and Website Management: Maintain accurate and current floor-plans and website data, ensuring that all changes are communicated effectively to operational teams. This ensures smooth event operations and helps visitors locate exhibitors, enhancing the event’s overall ROI.
  4. Contract and Order Management: Oversee the timely dispatch and return of customer contracts, following up on any outstanding items to ensure orders are closed promptly. Regularly report sales, billing, and collections data to the project team, supporting effective revenue management and tracking.
  5. Technology Utilization: Fully leverage IT systems (CRM, ERP, Sharepoint, Order Management, CAD, MS Office) to enhance operational efficiency. Act as a 'power user' for these platforms, especially MS Excel and PowerPoint, to support various administrative tasks.
  6. Cross-Departmental Liaison: Collaborate closely with sales, operations, finance, and service provider teams to provide essential information that supports their operations. Build and maintain strong internal relationships to ensure seamless event execution.
  7. Other duties as needed or required and deals with confidential information and/or issues using discretion and judgment.
Qualifications & Skills
  1. Minimum of 2 years of work experience, preferably in the UAE.
  2. Proficiency in MS Office Suite, especially Excel, PowerPoint, and Word.
  3. Familiarity with CRM systems (MS Dynamics or Salesforce preferred) and a basic understanding of Oracle systems (advantageous but not essential).
  4. Prior experience in the exhibition industry and sales administration is highly preferred.
