Job description

We are seeking a highly organized and detail-oriented Project Coordinator with extensive experience in warehouse management, material handling, and equipment supply coordination. This role will oversee and direct the material handling team, including managing the preparation and utilization of lifting equipment and other supplies.

Desired Candidate Profile

  1. Project Coordination & Administration:
    Coordinate day-to-day project activities for material handling and equipment supply, including lifting equipment.
    Oversee the administration tasks related to equipment supply and maintenance, ensuring compliance with schedules, budgets, and safety regulations.
    Ensure effective communication between internal teams, stakeholders, and clients.
    Organize and schedule project meetings, follow-up actions, and ensure timely delivery of project milestones.
    Maintain and update project documentation, including timelines, contracts, and reports.
    Coordinate with the suppliers of the equipment and maintain the equipment as per site requirements.
    Work with logistics teams to plan, organize, and implement efficient material handling processes.
  2. Maintenance & Equipment Management:
    Monitor and ensure that all equipment is well-maintained, functioning, and compliant with safety standards.
    Coordinate routine and emergency maintenance schedules to minimize project downtime.
    Maintain records of equipment usage, inspections, and repairs.
    Oversee inventory management for lifting equipment and materials.
  3. Stakeholder & Client Communication:
    Act as the main point of contact for all stakeholders, ensuring that project requirements and concerns are addressed promptly.
    Prepare and deliver regular progress reports to clients and stakeholders, including budget updates, schedule changes, and any risks or issues.
    Ensure clients’ expectations are managed, and project deliverables meet their requirements.
  4. Health, Safety, and Compliance:
    Ensure all activities are carried out in compliance with safety protocols and regulatory requirements.
    Monitor and enforce safety procedures for handling materials and equipment, especially lifting operations.
    Conduct periodic safety audits and risk assessments to identify potential hazards.
    Identify potential risks that could affect the project’s timeline, quality, or safety.
    Proactively develop strategies to mitigate risks and prevent delays or cost overruns.
    Liaise with relevant teams to manage issues and resolve conflicts efficiently.

Key Skills and Qualifications:

  1. Technical Knowledge:
    Strong knowledge of material handling, lifting operations, and logistics.
    Familiarity with the procurement and maintenance of lifting equipment and material handling tools.
    Understanding of relevant ADNOC project requirements and regulations.
  2. Experience:
    Proven experience (4-5 years) in project coordination, preferably within the material handling, logistics, or construction industry.
    Hands-on experience in managing equipment supply, maintenance, and administration tasks.
    Prior exposure to large-scale projects involving complex logistics and equipment management.
