Job description

About this role:

  • Coordinates with project support and document control regarding project functions.
  • Coordinate and work with the project management team to resolve project issues to ensure the delivery/completion of the project work.
  • Project documentation and administrative tasks.
  • Directly assist managers in daily administrative duties (General project support).
  • Monitor project progress and address potential issues.
  • Identify and initiate required reporting modifications for a comprehensive report.
  • Act as the point of contact for all projects and placing calls.
  • Coordinate quality controls to ensure deliverables meet the requirements.
  • Facilitate communication and coordination among project team members to ensure project objectives are met.
  • Maintain a log of incoming/outgoing correspondence and reports related to projects.
  • Prepare and submit monthly invoices to clients.
  • Maintain incoming and outgoing correspondence related to projects.
  • Coordinate between different departments and compile data to complete tenders and submit accurately on time.
  • Prepare and submit quotations to clients.
  • Administer new contracts & renewal for AMC.
  • Follow up on LPOs related to AMC Projects and Variable Jobs.
  • Follow up on submitted Service Reports and obtain required approvals and/or signatures.
  • Coordinate and follow up with Procurement and Logistics for material delivery.
  • Coordinate with the accounts department for the monthly process invoice postings and releasing.
  • Generate Sales Orders and submit to the finance team for invoicing.
  • File acknowledged invoices for accounts reference.
  • Provide meaningful and timely financial information to project management and finance management as well.
  • Responsible for Supplier Registration online, submitting the Pre-qualifications.
  • Input material requisitions and local purchase orders to ensure data is up to date and accurate by using Microsoft Excel.
  • Perform and prepare tender submittals (Commercial & Technical Proposals).
  • Maintain a healthy & safe environment at the workplace.
  • Follow the rules and regulations according to company policy.

In addition to all job-specific responsibilities, all employees are required to adhere to all Basatin health, safety and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety and environmental requirements and obligations. All employees are personally responsible to familiarize themselves with these policies, procedures, practices, updates, etc. Khidmah HSE department regularly updates existing and introduces new policies, procedures, and practices, and each employee is personally responsible to ensure they stay updated and compliant with all such updates and new additions.

Information Security Responsibilities:

  • Comply with Basatin Information Security Policies.
  • Be aware of and fulfill their information security responsibilities.
  • Ensure whoever handles sensitive company information has taken the Security Awareness Training.
  • Know how to report a security incident (to IT ServiceDesk or InfoSec).
  • Not disable his/her OS firewall and/or Antivirus.
  • Restrict use to authorized purposes, protect access accounts, privileges, and associated passwords.
  • Accept accountability for his/her individual user accounts, and maintain confidentiality.

Qualifications:

  • Landscaping industry experience is an advantage.
  • Immediate joiners preferred.
