Job description

The Procurement Officer is responsible for managing the acquisition of goods, services, and equipment essential to the company’s operations. This role involves sourcing vendors, negotiating contracts, and ensuring that the procurement process is conducted in a transparent, efficient, and cost-effective manner. The Procurement Officer plays a critical role in ensuring that all materials and supplies meet quality standards and align with the company's operational needs and budgetary constraints.

Key Responsibilities

  • Vendor Management and Sourcing:
  • Identify and evaluate potential vendors and suppliers.
  • Establish and maintain relationships with key suppliers to ensure reliable and consistent delivery of materials.
  • Conduct market research to stay informed of industry trends and price fluctuations.
  • Develop and implement sourcing strategies for key categories.
  • Procurement Process Management:
  • Process purchase requests from various departments, ensuring alignment with budgetary limitations.
  • Create and manage purchase orders, ensuring compliance with company policies and relevant regulations.
  • Track orders and coordinate with logistics to ensure timely delivery.
  • Resolve any issues with orders, such as delayed shipments, quality discrepancies, and incorrect invoicing.
  • Negotiation and Contract Management:
  • Negotiate terms and conditions with suppliers, securing the best possible pricing and terms.
  • Draft, review, and oversee supplier contracts to ensure legal and compliance requirements are met.
  • Monitor contract performance to ensure supplier adherence to service level agreements.
  • Inventory and Cost Management:
  • Collaborate with the inventory and finance teams to monitor stock levels and prevent overstock or shortage issues.
  • Conduct cost analysis on various procurement projects and report on savings and performance metrics.
  • Evaluate and propose cost-saving initiatives while maintaining quality standards.
  • Compliance and Documentation:
  • Ensure all procurement activities comply with company policies, regulatory standards, and ethical practices.
  • Maintain accurate records of procurement transactions, including purchase orders, invoices, contracts, and payment documentation.
  • Prepare reports on procurement activities, supplier performance, and spend analysis for management review.
  • Continuous Improvement:
  • Identify opportunities to improve procurement processes, reduce lead times, and increase efficiencies.
  • Participate in cross-functional projects to drive process improvements and cost optimization initiatives.

Qualifications

  • Bachelor’s degree in business administration, Supply Chain Management, or related field.
  • Minimum of 5 years of experience in procurement, supply chain management, or related field.
  • Proven experience in vendor negotiations and contract management.
  • Strong analytical, organizational, and problem-solving skills.
  • Proficiency in procurement software and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Knowledge of relevant regulations and compliance standards (e.g., ISO, OSHA, etc.) is an asset
  • Excellent communication and interpersonal skills.
