Job description
Responsibilities:
- Coordinate the preparation and submission of tenders in compliance with project requirements.
- Review tender documents, ensuring completeness, accuracy, and compliance with specifications.
- Gather required documents from various departments (technical, financial, legal) to compile comprehensive tender responses.
- Ensure timely submission of tenders and track submission deadlines.
- Manage and maintain registrations with various governmental and private entities across different sectors (construction, oil & gas, IT, etc.).
- Ensure the company is registered with the relevant authorities and has the necessary pre-qualification certifications.
- Monitor and manage updates to registration requirements, ensuring compliance with local regulations.
- Maintain a comprehensive database of all tender and registration activities.
- Liaise with clients, suppliers, and subcontractors to clarify tender specifications and ensure all requirements are met.
- Follow up with clients and government agencies for clarification and updates regarding tenders and registrations.
- Ensure all tendering and registration activities comply with UAE regulations, company policies, and industry standards.
- Keep abreast of new regulations or changes in the tendering process in the UAE market and advise management accordingly.
- Identify and mitigate potential risks related to tendering and registration processes.
- Assist in the post-tender evaluation process, ensuring that feedback is recorded and learned from for future submissions.
- Support contract negotiations and assist with the transition of awarded tenders to the execution phase.
Key Qualifications & Skills:
- Master's in Business Administration, Engineering, or a related field.
- Minimum 3–5 years of experience in tendering, procurement, or registration-related roles in the UAE.
- Prior experience with tender submissions for government and private sector projects in the UAE.
- Experience with public sector registration portals (e.g., Dubai Municipality, Abu Dhabi).
- Strong understanding of tendering processes, legal compliance, and documentation.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), ERP systems, and tendering platforms.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and prioritize work effectively.
- Excellent verbal and written communication skills in English (Arabic is a plus).
- Good interpersonal skills and ability to work in a collaborative team environment.
