Job Description
Procurement of Facilities & Household Items:
Assist in sourcing and purchasing office supplies, furniture, cleaning materials, kitchen supplies, machine maintenance, and general household items for corporate and operational use.
Ensure timely procurement of maintenance and repair materials for facility upkeep.
Process purchase requisitions, obtain supplier quotations, and prepare purchase orders (POs) for approval.
Maintain a database of preferred suppliers, ensuring competitive pricing and quality standards.
Track order statuses and follow up on on-time deliveries.
Liaise with existing suppliers and vendors to ensure smooth and timely procurement.
Assist in evaluating new suppliers and obtaining competitive quotations.
Monitor vendor performance related to quality, service, and delivery timelines.
Address and resolve issues related to damaged, delayed, or incorrect deliveries.
Inventory & Cost Control:
Maintain records of purchased items, stock levels, and inventory usage.
Assist in cost analysis and budget tracking to ensure procurement is within approved limits.
Identify opportunities for cost savings through bulk purchasing and supplier negotiations.
Documentation & Compliance:
Ensure all procurement documentation (purchase orders, invoices, supplier agreements) is correctly recorded and filed.
Assist in compliance checks to verify adherence to internal procurement policies.
Support audits by providing procurement-related records when required.
Cross-Functional Collaboration:
Work closely with the facilities management and administration teams to ensure availability of required supplies.
Assist the finance department in processing payments by providing necessary procurement documents.
Collaborate with the logistics team to coordinate the timely receipt and distribution of procured items.
