Job Title: Post Order Coordinator
Location: Dubai, United Arab Emirates
Job Type: Part-Time (Ideally 3 full days, or 5 mornings per week), Permanent position.

Eligibility: Candidates must already be living in Dubai and have full, unrestricted right to work in the UAE. Unfortunately, we cannot accept candidates who require visa sponsorship or are currently on a dependent or sponsored visa.

Purpose of the role:
To coordinate the post order processes with suppliers, customers and internal stakeholders to ensure that projects and or products are delivered on time and in full, thereby meeting the revenue and gross margin objectives for the region.

Qualifications & Experience:

1. Good understanding of ERP systems and processes (Microsoft NAV or Business Central would be advantageous).
2. Strong administrative and organisational skills.
3. Ability to manage short-term projects in a multicultural, international setting.
4. Knowledge of Freight logistics, freight forwarding, and shipping documents is preferred.
5. Bachelor's degree or working equivalent experience (minimum 3+ years in relevant roles).

Key Skills & Attributes:

1. Must have Fluency in English (written and spoken). Additional languages are advantageous.
2. Ability to project manage several short-term projects simultaneously from receipt of order through to completion.
3. Experience of working for a multi-cultural, international organisation.
4. Good communication, interpersonal skills, problem-solving skills and an eye for detail are essential.
5. Proactive, solution-oriented individual with a sense of urgency.
6. Strong communicator, comfortable with phone-based problem-solving.
7. Cultural fit for a small, close-knit office environment.

Core Responsibilities:

1. Plan and schedule the work content through its various stages of design engineering, manufacture, procurement, and shipping to meet the targeted/agreed delivery date.
2. Input data onto the ERP system and actively manage bill of materials to enable timely submissions of purchase orders, sales acknowledgements and sales invoices in an accurate manner.
3. Obtain manufacturing and or shipping quotations from approved suppliers and evaluate offers with the Financial Controller and Managing Director Emerging Markets.
4. Control and monitor project costs to maintain or improve the profit margins.
5. Forecast monthly the out turn of the scope of work with regard to time for completion and the sales/cost of sales for each project.
6. Provide monthly inventory reports and recommend replenishment quantities of parts for inventory.
7. Review actual costs versus budgeted costs quarterly with the Financial Controller and Managing Director Emerging Markets to generate variance analysis reports.
8. Regularly communicate with suppliers, customers and internal stakeholders to ensure the delivery of products and or projects within the agreed and targeted timelines.
9. Identify and recommend corrective actions for timely project delivery as and when required.
10. Develop strong working relationships with manufacturing suppliers, logistics suppliers, channel partners, customers, consultant engineers and the internal project delivery team.
11. Facilitate and coordinate project hand over meetings following receipt of order to ensure all stakeholders are aware of their individual responsibilities, timescales and accountabilities.
12. Prepare all the necessary documentation required for the successful delivery of projects such as O&M manuals, installation guides, certificates of origin, quality assurance certificates etc. called for under the scope of works.
13. Ensure all communications relating to the project delivery are tracked and recorded on the CRM system.

General Responsibilities:

1. Work closely/liaise with employees within the Australian, UK, US and UAE operating companies and Group functions to ensure a seamless service to customers.

3. Apply the requirements of BS EN ISO 9001/ISO 14001 as appropriate within area of responsibility.

6. Other duties which the company may reasonably require the individual to undertake.
