Job description

HLOG Logistics is seeking a highly professional, discreet, and proactive Personal/Executive Assistant – French Speaker to support our CEO. The ideal candidate will serve as the CEO’s right hand—handling sensitive matters with discretion, managing executive schedules, coordinating internal and external communication, and ensuring seamless daily operations. Experience in the logistics or freight forwarding industry is highly preferred, and fluency in French is essential.

Key Responsibilities:

  1. Provide high-level administrative support to the CEO, both professionally and personally.
  2. Manage the CEO’s calendar: schedule meetings, appointments, travel, and events.
  3. Handle confidential information with the utmost discretion and integrity.
  4. Draft and review correspondence, reports, and presentations in both English and French.
  5. Liaise with internal departments, partners, and international stakeholders on behalf of the CEO.
  6. Follow up on tasks, project deadlines, and internal action points.
  7. Assist in organizing board meetings, preparing agendas, and taking minutes.
  8. Coordinate logistics for business travel, including flights, accommodation, visas, and itineraries.
  9. Support in personal matters and errands, when necessary.
  10. Act as a trusted gatekeeper and representative of the CEO.

Minimum Requirements:

  1. Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior leadership—preferably in the logistics or freight forwarding industry.
  2. Fluency in French and English (spoken and written) is mandatory.
  3. Exceptional organizational and time-management skills.
  4. High level of confidentiality, integrity, and loyalty.
  5. Strong interpersonal skills with the ability to manage relationships with internal and external stakeholders.
  6. Tech-savvy and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
