Position Overview:
Our client is seeking a highly skilled and experienced Personal Assistant to provide top-level support to the CEO. This individual will act as a crucial mediator between the CEO and key departmental heads, ensuring seamless communication and coordination across the organization. The ideal candidate will possess exceptional organizational abilities, a strong sense of discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Personal Assistant Support:
Manage schedules (calendar management), appointments, and travel arrangements for the CEO, including scheduling meetings. - Communication Management:
Handle all incoming and outgoing communications for the CEO and affiliated verticals. - Meeting Preparation:
Prepare agendas and materials for meetings, ensuring all necessary resources are available, and taking notes/minutes of the meeting while reminding the CEO of deadlines and tasks. - Organizational Tasks:
Organize and maintain digital filing systems and important documents for the CEO. Liaise with various team heads for completion of tasks given out by the CEO. - Travel Support:
Be open to travel with the CEO or stakeholders for seamless workflow management and on-site support. - Project Assistance:
Assist the CEO in planning, coordinating, and executing special projects and strategic initiatives. Track the progress of key projects and provide regular updates to the CEO and relevant stakeholders. - Confidentiality & Discretion:
Maintain a high level of confidentiality regarding sensitive information and ensure documents are securely managed, especially during travel. - Customer Relationship Management (CRM):
Foster and maintain relationships with customers through timely communication and support. Gather customer feedback and insights to improve services and products. - Event Management:
Assist in planning and organizing social events, including logistics, invitations, and follow-up on behalf of the CEO. Represent the company professionally at events. - Reporting and Metrics:
Track and report on employee and customer traction to the CEO and provide regular updates on key metrics related to customer relationships and event success. - Collaboration and Communication:
Work closely with internal teams to ensure CEO needs are met and timelines are tracked. Facilitate clear communication between the executive team and external stakeholders.
Qualifications:
Experience: Minimum of 7-10 years of experience as a Personal Assistant, preferably supporting C-level executives.
Education: Bachelor’s degree in Business Administration, Communications, or a related field; a Master’s degree is a plus.
