Job description

Responsibilities:

  1. Organizing and coordinating meetings for General Manager.
  2. Receiving and verifying incoming documents, checking the accuracy of the transmittal notice.
  3. Notifying superiors for the proper identification of the respective internal and external documents.
  4. Updating and maintaining General Manager’s Calendar.
  5. Compiling and archiving of General Manager’s Reports.
  6. Coordinating with Project Sites for reports and other issues.
  7. Preparing documents for General Manager’s approval and assisting with day-to-day issues.
  8. Maintaining the incoming and outgoing registers for all documents.
  9. Maintaining/Assisting Diary and Appointments.
  10. Handling a pressurized administrative environment.
  11. Managing complex travel and diary arrangements.
  12. Coordinating several tasks at once and meeting proposal deadlines.
  13. Excellent coordination and organizational skills.
  14. Correspondences (English & Russian).
  15. Translation of all types of documents in English & Russian.
  16. Managing Chairman & General Counsel emails and responding to all requirements.
  17. Dealing with all worldwide branches.
  18. Event management (meetings, seminars, etc.).
  19. Providing support to company managers for their administrative needs.
  20. Expenses reports for worldwide hotel reservations.
  21. Screening all incoming & outgoing calls.
  22. Dealing with the banks for personal & corporate accounts.
  23. Dealing with rental cars.
  24. Handling Manager’s leave.
  25. Dealing with government departments.
  26. Assisting the Managers’ wives in some routine duties.
  27. Arranging for all kinds of visas for the management.
  28. Publishing the corporate newsletter by gathering information, preparing and editing articles, designing graphic presentations, producing and distributing.
  29. Helping key executives make consistent decisions by advising them of historical precedents and serving as liaison between them and the president.
  30. Arranging corporate travel and meetings by developing itineraries and agendas, scheduling the corporate jet, booking other transportation, and arranging lodging and meeting accommodations.
  31. Updating job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
  32. Distributing and filing various forms and documentation related to public employees' economic interest; submitting and maintaining related forms according to established procedures.
