Personal Assistant/Executive Assistant-Dubai

  • Manage and prioritize the executive's calendar, ensuring that all appointments and meetings are scheduled efficiently and conflicts are resolved promptly.
  • Prepare detailed itineraries for domestic and international travel, including accommodation, transportation, and meeting schedules.
  • Act as the main point of contact for internal and external stakeholders, effectively managing communications and fostering professional relationships.
  • Draft and edit correspondence, reports, and presentations to ensure clarity and professionalism in all written communications.
  • Assist in the preparation and monitoring of budgets, tracking expenses, and ensuring adherence to financial protocols.
  • Conduct research and compile data to support decision-making processes, providing insights that align with the executive's goals.
  • Coordinate and organize company events, meetings, and conferences, ensuring all logistical details are handled smoothly.
  • Implement and maintain efficient office systems, including filing, document management, and digital organization.
  • Handle confidential information with discretion and integrity, maintaining the highest level of trust and confidentiality.
  • Support project management initiatives by tracking deadlines, deliverables, and ensuring team members are aligned with objectives.

Desired Candidate Profile

  • Bachelor's degree in Business Administration, Management, or a related field is preferred for a solid educational foundation.
  • At least 3–5 years of experience as a Personal Assistant or Executive Assistant in a fast-paced, corporate environment.
  • Fluency in English is essential; proficiency in Arabic or other languages will be considered an asset.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, is crucial for effective task execution.
  • Familiarity with project management tools and CRM software is desirable to enhance organizational efficiency.
  • Strong organizational and time-management skills are essential to manage multiple priorities effectively.
  • Excellent verbal and written communication skills are necessary to interact professionally with stakeholders at all levels.
  • Proactive problem-solving abilities and a keen attention to detail are critical for anticipating needs and addressing challenges.
