Description:

We are looking to bring onboard a Human Capital Operations Coordinator to join our Dubai office! This is a 6 months maternity cover contract.

Job Overview

The HC Assistant will play a vital role in providing comprehensive administrative support to the IMEA Human Capital Operations team. The incumbent will be responsible for various administrative tasks, ensuring confidentiality, and contributing to the overall efficiency of HC operations.

Key Responsibilities

  1. Administrative Support: Provide extensive administrative support to the HC division, including record-keeping, hiring approval processes, and maintaining organized filing systems. Ensure that all relevant administrative work is dealt with appropriately and in a confidential manner.

  2. Benefits Processing: Assist in processing insurance and other employee benefits, including the addition and deletion of employees. Review benefit records at year-end reconciliation to ensure accuracy.

  3. Internal Tracking: Maintain and update internal time off trackers for vacation, sick leaves, and employee exits. Ensure accurate and up-to-date records.

  4. Document Issuance: Prepare and issue employee-related documents, such as Salary Certificates, Employment Certificates, pay slips, Employment Contracts, and Income Statements.

  5. Audit Assistance: Provide assistance during internal and external audits, ensuring that all required HC records and documents are readily available and compliant with regulations.

  6. Vendor Liaison: Collaborate with benefit vendors and external partners, ensuring smooth communication and support for employees in accessing their benefits.

  7. Onboarding and Offboarding: Assist in the onboarding and offboarding processes, including preparing and connecting with new hires, and scheduling inductions. Schedule exit interviews and assist with issuing relevant paperwork.

  8. Data Maintenance: Maintain and update employee records and databases, ensuring data accuracy and integrity.

  9. Compliance: Stay updated on HC regulations and compliance requirements, assisting in ensuring the organization's adherence to all relevant laws and policies.

  10. Ad Hoc Tasks: Support the HC team with various ad hoc tasks as needed, contributing to the evolving needs of the department.

Experience Required

  1. Bachelor’s degree in human resources, Business Administration, or a related field (or equivalent experience).

  2. 3+ years of experience working in a similar role.

  3. Experience in financial services, management consultancy and/or a professional services environment is a plus.

  7. Knowledge of HR practices and benefits administration is a plus.

  8. Ability to work collaboratively and adapt to changing priorities.

  9. Strong problem-solving and time management skills.

Technical Skills

  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.

  2. Strong command of English (written and verbal).
