Job description

We are seeking an experienced and highly organized Office Manager to oversee the day-to-day operations of our real estate company. The ideal candidate will have prior experience in a real estate environment and a strong understanding of operations, sales, call center management, marketing, and human resources. This role requires a proactive, detail-oriented individual who can effectively manage multiple departments and ensure smooth workflow and communication across all levels of the company.

Key Responsibilities:

Operations Management:

  1. Oversee and streamline daily office operations to ensure efficiency and effectiveness across all departments (sales, call center, marketing, HR, etc.).
  2. Develop and implement office policies and procedures to improve workflow and ensure compliance with company standards.
  3. Coordinate and supervise the administrative functions of the office, including managing office supplies, equipment, and ensuring the office environment is well-maintained.

Sales & Call Center Support:

  1. Assist the sales team by managing schedules, maintaining client records, and ensuring seamless communication between agents, clients, and management.
  2. Supervise and support the call center operations, ensuring high service levels, efficient lead management, and effective communication with potential and existing clients.
  3. Monitor and report on key performance metrics for both the sales and call center teams.

Marketing & Branding:

  1. Collaborate with the marketing team to help coordinate advertising campaigns, social media strategies, and promotional materials for the company's listings and services.
  2. Assist in maintaining the company's online presence and digital marketing efforts, including website management and content updates.
  3. Work closely with senior leadership to align operational strategies with company goals.
  4. Generate regular reports for management on departmental performance, budget tracking, and employee progress.
  5. Organize regular team meetings, ensuring clear communication and smooth collaboration across departments.

Customer Service & Client Relations:

  1. Foster a positive, customer-centric culture across all departments, ensuring that clients receive top-notch service at all times.
  2. Address any client concerns or complaints, working collaboratively with team members to resolve issues quickly and effectively.

Qualifications:

  1. Experience:
  2. Minimum 3-5 years of experience in office management, operations, or administrative roles within a real estate company.
  3. Proven experience managing multiple departments, including sales, marketing, and HR, within a real estate setting.
  4. Education:
  5. Bachelor's degree in Business Administration, Real Estate, or a related field is preferred.
  6. Skills & Abilities:
  7. Strong knowledge of real estate operations, industry practices, and terminology.
  8. Excellent organizational skills with the ability to multitask and prioritize effectively.
  9. Proficient in MS Office Suite (Word, Excel, PowerPoint) and CRM software (e.g., Salesforce, HubSpot, etc.).
  10. Strong verbal and written communication skills.
  11. Ability to lead and manage cross-functional teams.
  12. Problem-solving mindset with the ability to handle stressful situations in a calm and professional manner.
