Job description

We are looking for an experienced and Executive Assistant - Office Manager to be responsible for managing administrative tasks, coordinating with various departments, and providing administrative support to the CEO & Chairman.

The ideal candidate will be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees, and handling outgoing mail. They should also possess a friendly demeanor to effectively interact with office visitors and interview candidates.

Responsibilities

  • Manage office supplies, equipment, and place orders as needed.
  • Coordinate and schedule appointments with relevant prospects, optimizing the engagement process.
  • Provide critical day-to-day support to the GM & Chairman, including scheduling, travel arrangements, document preparation, and meeting coordination.
  • Manage the reception area, handle phone calls, and provide administrative support to various departments within the organization.
  • Serve as the first point of contact for visitors and clients, ensuring a positive and welcoming experience.
  • Organize and schedule meetings and appointments.
  • Coordinate travel arrangements for employees.
  • Manage office facilities and liaise with building management.
  • Ensure office policies and procedures are followed.

Qualifications

  • Bachelor’s degree or higher.
  • Excellent oral and written communication skills in English.
  • Strong organizational, time management, communication, and interpersonal skills.
  • Proficient in Microsoft Office Suite.
  • 3+ years of experience in office management (required).
  • 2+ years of experience in assisting CxO.
  • Solid presentation and PowerPoint skills.
  • Additional advanced language skills are preferable.
  • Ability to handle stressful situations with poise and composure.
  • Detail-oriented and ability to multitask.
