We are recruiting an Office Manager based in Dubai, UAE.

The Office Manager shall be the first point of contact for internal and external parties for the office, which may imply some sales coordination, customer service, and communication elements. Duties and responsibilities will include:

KEY RESPONSIBILITIES

Office duties

  1. Overseeing all employees based in MA to ensure they work productively and meet deadlines and company standards.
  2. Answering telephone calls and emails from customers and clients and directing them to relevant staff.
  3. Creating and/or organizing activities to gear up employees’ working spirit.
  4. Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required.
  5. Monitoring the cleaner and maintenance companies to ensure the office is cleaned regularly, safe, appliances in good working order, and reminding employees to keep their office space clean and neat.
  6. Reporting office progress to senior management and working with them to improve office operations and procedures.

HR, Finance & Admin related

  1. Act as PRO for UAE branch office.
  2. DMCC portal operation.
  3. Check employee expense claims.
  4. Employee’s attendance.
  5. Help employees to book flight tickets & hotels for business trips.
  6. Be familiar with office policy and travel policy, leave/holiday policy, and provide necessary assistance with policy to the team.
  7. Arrange team building activities.

Company assets and demo units

  1. Work with PM team and Marketing team to ensure company assets and demo units are well stored and recorded.
  2. Keep record of PLA (Product Loan agreement) and prepare sample units for Sales.
  3. Coordinate with HQ logistics team, CSC team, Admin team for demo unit and asset management.

Experience and Qualifications

  1. Minimum 3 years experience in an office specialist/manager role.
  2. Must have DMCC free zone experience.
  3. Good interpersonal skills and the ability to work well with a cross-functional team with varying cultural and experience backgrounds.
  4. Languages: Fluent in written and spoken English, Arabic a plus.
